Office Assistant
A vacancy exists in the Home Team Program of the Division of Community Services in the Department of Aging for an Office Assistant. Pay Schedule I, Grade 19, Regular Schedule: 35 hours per week. The Baltimore County Department of Aging strengthens lives by connecting individuals to community resources, programs, and services. The Home Team Program connects older adults with volunteers who support their emotional and physical well-being. This position provides clerical support to the Home Team program and interacts with older adults, volunteers, and agency staff.
Examples of Duties
Under general supervision, performs comprehensive clerical and routine administrative duties to ensure the efficient operation of an office or coordinates a major function within a County agency or bureau.
- Provide general clerical assistance to the program
- Assist with the Home Team Program Operations
- Assist with the volunteer and client vetting process
- Assist with Data Entry
Examples of Other Duties
- Uses automated office systems, such as a computer, to prepare a variety of emails, memos, and other material from a draft or specific instructions.
- Accesses databases to establish, retrieve, review, update, track, and revise a variety of office records.
- Responds to inquiries of a routine nature regarding County, department, and/or program policies in person, by telephone, or by regular or electronic mail.
- Collects information regarding more complex inquiries and refers to appropriate staff for follow-up as necessary.
- Operates office machinery, such as photocopiers, calculators, telephones, scanners, and printers.
- Performs other related duties as required.
Qualifications
Possession of a high school diploma or an appropriate equivalent plus one year of typing, word processing, or secretarial experience. (Additional experience as described in the essential duties may be substituted on a year-for-year basis for the required education. Additional education may be substituted on a year-for-year basis for the required experience.) Knowledge of modern office methods and procedures, including filing systems. Knowledge of spelling, grammar, and arithmetic. Knowledge of MS Office, database management, and spreadsheet software packages. Knowledge of guidelines regarding eligibility for our programs. Ability to compose simple letters and memos. Ability to communicate effectively. Ability to work independently and make decisions with accuracy and attention to detail. Ability to follow County and departmental rules and regulations. Ability to respond appropriately to inquiries from the public. Ability to maintain client confidentiality. Ability to establish and maintain positive relationships with clients, volunteers, and community partners. Ability to effectively triage information from callers and email recipients.
Some positions within this classification may require possession of a valid driver's license equivalent to a Non-Commercial, Class C Maryland driver's license at the time of appointment. Conditions of Employment
The work of these positions is essentially sedentary, with occasional walking/or lifting, and other restricted physical activities. Some employees in this classification may be required to work overtime with little or no advance notice. Some positions may be designated as Emergency/Essential. Possession of a valid driver's license equivalent to a Non-Commercial, Class C Maryland driver's license may be required at the time of appointment.
