Job Summary Provides clerical and scheduling support for the Cardiac Diagnostic Outpatient Clinic under the supervision of the Cardiology Supervisor/Director. Responsibilities Demonstrate knowledge and skill to provide care appropriate to the age of patients served. Perform routine clerical functions including scheduling, patient registration, answering telephones, data collection, and word processing. Assist with efficient flow of patients through departments, focusing on delivery of quality care. Manipulate logistics, assist with ambulation of patients, and perform basic patient preparation. Promote a positive work environment through productive communication. Answer telephone professionally and direct calls to appropriate personnel. Schedule and reschedule inpatient/outpatient procedures, ensuring physician availability. Assist Respiratory and Sleep Medicine with scheduling. Confirm appointments and prepare/distribute department daily schedule up to 48 hours in advance. Obtain and confirm authorizations and written orders are accurate with appropriate physician signatures, and request updates as needed. Respond to SharePoint requests within 15 minutes. Welcome patients upon arrival using AIDETS. Pre-register patients in Meditech, obtain accurate demographic information, personal documentation, valid written order, and scan into or update EMR. Ensure patient procedures are on appropriate schedules and perform electronic signatures, ensuring COA and facesheet transfers to Notes. Provide patients with general procedure information/instructions and refer them to clinical staff appropriately. Provide feedback to clinical staff regarding patient’s ability to ambulate when appropriate. Maintain CWS/Outlook schedules and calendars by scheduling vendors, anesthesia (Cath Lab), monthly staff meetings or peer reviews, and other departmental meetings or events (e.g., holidays, PM’s). Utilize PACS to transmit and print/burn CD(s) of imaging studies. Prepare peripheral and electrophysiology reports and hemodynamic logs/reports for third‑party coding (MAMI). Assist with data collection and organization in quality‑improvement processes. Review Cath Lab hemodynamic procedure logs for equipment and billing accuracy. Assist patient flow, including ambulation and assistance with dressing/un‑dressing. Assist with cleaning of rooms or patient prep to use resources efficiently. Verify and expedite charges and billing corrections within three business days for Cardiac Wellness Center and CDOC. Maintain department competency grid and record procedure statistics. Assist with submission of Medicare month‑end reports for the Cardiac Wellness Center. Provide support to parallel departments as needed (Cardiology, Wellness, CDOC, Cath Lab, Sleep Center, RT). Perform other duties as assigned. Education Minimum of a high school diploma or GED required. Licensure Current BLS/Healthcare Provider status as per American Heart Association standards. New hires and transfers have up to 6 months from hire/transfer to obtain BLS/Healthcare Provider certification and must remain continually current. Experience One (1) to two (2) years of recent clerical/scheduling experience preferred. Medical terminology strongly preferred. Compensation Hourly rate: $31.15 – $37.87.
