Court Facilitator

Benefits to You

  • We pay 95% to 99% of medical insurance premiums for full-time employees, including mental health coverage.

Location Highlights

Dallas, Oregon, established in 1874, is a small city 15 miles west of Salem (Oregon's Capital) along Rickreal Creek. The town was named after George M. Dallas, the vice president of then President James K. Polk, after whom the county is named. The area around Dallas is known for its wines especially its outstanding pinots. It is also home to Baskett Slough National Wildlife Refuge. The Polk County Courthouse (tied with Sherman County Courthouse) is the second oldest running courthouse in Oregon 1899 (an annex was added in 1965).

Position Highlights

The Polk County Circuit Court is hiring a Court Facilitator.

In this role, you will help self-represented litigants navigate complex case issues and complete their legal documents. You will accept, review, and create court pleadings and new cases. You will schedule court hearings, provide an overview of court forms and processes, and help litigants and attorneys use the court system. You will provide educational materials and referrals for a variety of legal and other resources available to parents and children. The support you provide will be in person, over video, on the telephone, and in writing.

Additionally, you will be the subject matter expert on family law processes for judges, court staff, attorneys, and the public. You will provide recommendations and feedback on program efficiencies and will help implement changes. You will also prepare statistical and informational reports about the Family Law Assistance Program for the Trial Court Administrator, judges, and court staff.

You will spend part of your time cross-training on all aspects of court operations and providing training to others as needed.

Assigned tasks may be changed to accommodate workload and organizational needs.

Minimum Qualifications

(These must be evident in your resume or work history.)

The qualified candidate must have a high school diploma or equivalent.

AND

At least three (3) years of clerical experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.

OR

Any combination of education and experience equivalent to three (3) years of experience that typically supports the knowledge, skills, and abilities for the position.

Requested Skills and Attributes

  • Experience performing a variety of clerical or administrative support tasks that included using a computer to enter and retrieve information, meeting strict deadlines, and maintaining accuracy when interrupted or distracted by a noisy work setting.
  • Experience explaining processes, procedures, or policies.
  • Experience responding professionally to customers or clients who are facing challenging life circumstances, stressful situations, or trauma.
  • Experience reviewing documents for accuracy and completeness.
  • Experience identifying and safeguarding confidential information and materials.
  • Bilingual English/Spanish proficiency is preferred but not required.

Working Conditions

  • This is a full-time position, and the work schedule currently is 8:00 a.m. to 5:00 p.m. Monday through Friday. This position is eligible for overtime compensation for hours worked in excess of 40 per workweek.
  • Occasional after-hours or overtime work may be required.
  • Frequent phone and in-person contact with people from diverse backgrounds.
  • Frequent phone and in-person contact with people who may be facing challenging life circumstances, highly stressful situations, or trauma, including people who are angry, hostile, confused, or frustrated.
  • Occasional lifting of objects that weigh up to 10 pounds.
  • Long periods of sitting or standing while working at a computer.
  • Regular use of the following equipment: telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, and scanner.
