What You'll Do Manage a dynamic executive calendar and changing priorities Coordinate domestic and international travel Prepare executive briefings, reports, presentations, and meeting materials in German and English Draft executive correspondence and manage confidential communications in German and English Ensure priorities, commitments, and follow-ups are executed on time Speak more German than English in a day, on the phone, in meetings, with clients, and team members Business Development & Relationship Management Support client development and referral relationships Coordinate networking meetings in Germany and worldwide, conferences, and follow-up activities Track opportunities and relationship touchpoints Assist with business development presentations and proposals International Coordination Coordinate communication with international law firms, alliance members, and business organizations Support cross-border initiatives and leadership meetings Help organize conferences, executive meetings, and special projects Executive Communications Support speaking engagements, publications, podcasts, seminars, and thought leadership initiatives Coordinate executive events and networking activities Operational Excellence Create structure and organization in a fast-moving environment Anticipate challenges before they arise Handle confidential matters with absolute discretion Ensure projects move forward efficiently and professionally Who You Are You are someone who: Takes ownership Thinks several steps ahead Thrives with autonomy Exercises sound judgment Communicates professionally and confidently Enjoys solving problems Is highly organized without becoming overwhelmed Builds trust through reliability and discretion Speaks, reads, and writes both German and English equally proficient You don't wait to be told what needs to be done—you make things happen. Qualifications Professional fluency in German and English language skills are essential Several years supporting senior executives, founders, partners, or C‑suite leaders Exceptional organizational and project management skills Experience managing executive calendars, travel, and competing priorities Strong judgment and decision‑making abilityAdvanced proficiency with Apple environment, Microsoft Office 365 and modern business technology Preferred Experience in a law firm, consulting firm, financial institution, or international business Familiarity with CRM systems and practice management software such as Clio Bachelor's degree or equivalent professional experience Competitive compensation based on experience, plus performance‑based bonus opportunities.
