Supply Chain Coordinator, SE

Job Sumamry : In collaboration with the NorthStar Care community interdisciplinary teams, obtains all durable medical equipment and medical supply needs in a timely and cost effective manner, under the close supervision of the Supervisor. Also performs a variety of direct and supportive duties related to the packaging, storing, recording and delivery of related supplies.

Essential Functions :

  • Proactively gathers necessary information to successfully begin, support and / or complete purchasing processes.
  • Accurately enters all appropriate information into electronic documentation system(s) in a timely manner.
  • Produces, monitors, distributes and analyzes various reports and information that support the efficient day-to-day operations of the department and organization.
  • Proactively responds to crisis calls, taking appropriate action to resolve the situation for a positive outcome.
  • Inventories stock in assigned dispensing areas, monitors expiration dates and restocks shelves. Proactively documents, processes and follows up as needed.
  • Routinely initiates defined follow-up protocols for internal and external customers not requiring immediate assistance, but having service needs that must be met and / or are unresolved.
  • Copies, faxes and / or emails various documents as needed to support the efficient day-to-day operations of the department and forwards and / or files information appropriately.
  • Maintains and updates departmental resource materials and schedules as required.
  • Accepts incoming calls promptly and courteously and responds appropriately to customer inquiries. Processes messages efficiently, accurately and in a timely manner. Transfers calls appropriately to fully address internal and external customer concerns.
  • Initiates and coordinates the communication, and follow-up calls, between internal and external customers necessary to ensure all orders are successfully processed. Proactively problem solves, anticipates needs, and initiates solutions for both internal and external customers that support the successful completion of orders.
  • Processes incoming and outgoing mail on a daily basis.
  • Works collaboratively and actively participates in team functions and meetings.
  • Coordinates and utilizes supplies and forms to ensure smooth daily operations.
  • Reviews and assists with vendor relations, performances and contract negotiations.
  • Adjusts to changes in workload and schedules based on changing departmental and organizational priorities.
  • Participates in internal and external education, training, in-services and other activities to promote personal and professional growth.
  • Adheres to organizational Code of Conduct, policies and procedures and all regulatory and legal requirements.
  • Adheres to C.A.R.E. Model of Service : courtesy, acknowledgement, response and empathy.

Qualifications :

  • High school diploma or equivalent required; Associate’s degree in a business related field preferred.
  • Three (3) to five (5) years’ clerical experience with increasing level of responsibility required; telephone related experience such as customer service representative, telephone sales / order acquisition in a health care setting highly preferred.
  • Two (2) to (3) years’ previous health care experience required.
  • Must be computer literate, with demonstrated proficiency in Microsoft Office applications.
  • Must be familiar with and have operational knowledge of standard office business machines.
  • Must be able to read, write and speak English fluently and be able to effectively communicate orally and in writing in internal and external relationships for all essential job functions.
  • Must possess excellent interpersonal skills, sound judgment, effective organizational, prioritization and follow-through skills, attention to detail, tact, dependability, emotional intelligence and the ability to promote positive, constructive relationships with communication and collaboration at all levels with the ability to maintain confidentiality.
  • Must be able to coordinate several tasks simultaneously while maintaining a high degree of efficiency and accuracy.
  • The physical demands of the position include : vision, effective speech and hearing for extensive telephone contact; repetitive motion; driving or riding in a motor vehicle; standing, sitting, walking, bending, reaching, and stretching; and lifting up to twenty five (25) pounds unassisted.
  • Must have reliable transportation.
  • Must be eligible to work in the United States.
