Human Resources Coordinator

Join our dynamic team as a Human Resources Coordinator, where you will play a key role in supporting our HR department to ensure smooth and efficient business operations. In this pivotal position, you'll coordinate HR initiatives, manage employee records, assist with recruitment processes, and contribute to creating a positive and engaging work environment. Your expertise will help us foster a culture of growth and inclusivity.

Duties/Responsibilities:

  • Support the full recruitment process, including posting job openings, screening resumes, coordinating interviews, communicating with candidates and hiring managers, tracking candidate status in the HRIS, and preparing recruiting correspondence.
  • Coordinate new-hire onboarding, including preparing employee files, conducting or assisting with orientation, completing Form I-9 and verification of documentation, submitting background checks, and ensuring required employment documentation is completed.
  • Maintain accurate and confidential employee records in HRIS both electronic and physical personnel files. Process employment changes, including transfers, job classifications, salary changes, promotions, and terminations.
  • Administer employee benefits by processing new-hire enrollments, qualifying life-event changes, and terminations.
  • Respond to employee questions and requests regarding HR policies, benefits, payroll, leave, and other employment-related matters, escalating issues to the appropriate HR team member as needed.
  • Assist with payroll-related processes by preparing and reviewing employee information, changes, deductions, and other required documentation in coordination with the Payroll department.
  • Assist with employee relations matters, performance management, and the performance review process in collaboration with the HR team.
  • Assist with the administration of workers' compensation claims, including coordinating injury reporting, obtaining and maintaining required documentation, communicating with employees, managers, medical providers, and insurance representatives, and tracking claims through resolution.
  • Support the return-to-work and accommodation process by coordinating work restrictions, medical documentation, and communication with employees and management in collaboration with the HR team.
  • Support the development, implementation, and administration of HR policies, procedures, and programs, including assisting with compliance audits and maintaining current knowledge of applicable employment laws and regulations.
  • Coordinate employee training and professional development activities, including scheduling, communications, materials, and recordkeeping.
  • Assist with planning and coordinating employee engagement activities, benefits enrollment events, leadership development programs, and other company initiatives.
  • Prepare, maintain, and distribute HR correspondence, reports, metrics, presentations, forms, and other documents as requested.
  • Perform general HR administrative duties, including filing, scanning, copying, mailing, preparing correspondence, and maintaining organized and confidential records.
  • Provide general project and administrative support to the HR team and perform other related duties as assigned.

Requirements:

Required Skills and Abilities:

  • Excellent organizational skills and meticulous attention to detail, with a commitment to accuracy and high-quality work.
  • Strong written and verbal communication and customer service skills.
  • Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.
  • Working knowledge of human resources principles, practices, and procedures.
  • Proficiency with Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
  • Familiarity with HRIS systems and the ability to maintain and enter employee data accurately.
  • Strong interpersonal skills with the ability to work collaboratively and interact professionally with employees at all levels.
  • Ability to follow verbal and written instructions and exercise sound judgment when handling confidential information.
  • Ability to maintain strict confidentiality and appropriately handle sensitive employee and company information.

Education and Experience:

  • Associate degree in Business Administration, Human Resources, or a related field preferred.
  • Minimum of five years of experience in Human Resources or a related administrative HR role.
  • Experience with HRIS systems and employee data management.
  • Working knowledge of benefits administration, onboarding, recruiting, payroll processes, and employment documentation.
  • SHRM-CP and/or PHR certification required.

Physical Requirements:

  • This position is primarily an office-based role requiring the employee to work at a desk and computer for extended periods throughout the workday.
  • Must be able to sit for prolonged periods, with the ability to periodically stand, walk, and change positions as needed.
  • Must be able to use a computer, keyboard, mouse, telephone, and other standard office equipment on a regular basis.
  • Requires frequent hand and finger movement, including typing, writing, filing, scanning, copying, and handling documents.
  • Must have the ability to communicate effectively in person, by telephone, and through electronic communication.
  • Must be able to read, review, and interpret documents, reports, policies, personnel records, and other written materials, both in print and electronically.
  • Requires the ability to move throughout the office and access work areas, conference rooms, file storage areas, and other company locations as needed.
  • May occasionally be required to lift, carry, push, or pull office materials, files, boxes, supplies, or equipment weighing up to 25 pounds.
  • May occasionally require bending, reaching, stooping, kneeling, or climbing stairs in connection with filing, retrieving records, organizing supplies, setting up meetings, or supporting company events.
  • May occasionally assist with the setup and breakdown of HR meetings, training sessions, benefits enrollment events, employee engagement activities, and other company events.
