Function / Duties of Position
Using advanced technical and administrative skills, this position provides direct executive-level administrative support to Dr. Brian Druker, CEO of the OHSU Knight Cancer Institute and inaugural President of the Knight Cancer Group.
The Senior Executive Assistant :
manages Dr. Druker's heavy, complex, and ever-changing schedule, using excellent judgment to prioritize appointmentsmonitors all communication, managing as much as possible, drafting replies for Dr. Druker as appropriate, and staying apprised of his evolving prioritiescoordinates Dr. Druker's travel, working with event organizers, booking flights and hotels, keeping track of all pertinent details for inclusion in itineraries, processing reimbursements through appropriate sources, and ensuring that reimbursements are receivedplans small- and large-scale internal and external meetings and events, including identifying appropriate venue and needs (e.g., catering, AV, agenda) and seamlessly executingensures that all customers receive exceptional customer serviceperforms other duties as assignedThis position has access to highly confidential information and requires the utmost discretion. A high level of attention to detail, commitment to high-quality work, polished writing skills, critical thinking, prioritization, independence, and flexibility are essential. The Senior Executive Assistant must be able to work independently, collaboratively, and resourcefully to achieve goals and solve problems. Demonstrating tact and diplomacy is essential to maintaining effective working relationships with a wide range of internal and external customers. The position is demanding, the workload heavy, and expectations high.
Required Qualifications
Level 3 : Bachelor's degree in a relevant field. Two (2) years of administrative experience OR equivalent combination of education and experience. One (1) year of full-time experience must have been in direct support of a senior-level executive, requiring highly developed organizational and problem-solving skillsLevel 2 : High School diploma. Four years of administrative or executive support experience; OR a Bachelor's degree and two years of administrative or executive support experience; OR an Associate's degree or certificate in office occupations or office technology and three years of administrative or executive support experience; OR an equivalent combination of training and experienceAbility to maintain strict confidentialityAbility to demonstrate tact, diplomacy, and excellent judgment in representing the Knight Cancer Director, the institute, and OHSU, and to maintain effective working relationships with all customersExperience with managing a busy executive's calendar, including weighing competing priorities and collaboratively working with others to identify times for meetings while protecting the executive's timeAbility to prioritize and complete a high volume of tasks and projects by deadlineExperience with meeting and event planningExcellent communication skills, verbal and writtenExemplary writing and editing skillsExcellent analytical and organizational skillsAbility to work independently, be self-motivated, and resourcefulAbility to work effectively with a team and diverse individuals and groups at all levels of an organizationDemonstrable record of reliable attendance, punctuality, and exceptional performance in prior positionsDemonstrated proficiency with MS Office (Word, Excel, Outlook, and PowerPoint)Additional Details
