Job description

Site Manager/Project Coordinator

The Site Manager is responsible for ensuring full site readiness, enabling staff, and overseeing daily operations for a large-scale construction project. This role focuses on creating a safe, efficient, and well-supported environment where personnel can arrive on site, remain productive, and have the facilities, logistics, and administrative support required to perform their work. The Site Manager acts as an enabling authority, removing friction, enforcing readiness, and coordinating site-wide activities while partnering closely with discipline leaders and project teams.

Responsibilities

  • Plan and execute site mobilization activities to ensure the project can start safely and efficiently.
  • Coordinate jobsite trailer planning, setup, and ongoing management of site facilities, including office infrastructure, internet, utilities, and general conditions.
  • Oversee safety coordination, site orientation, and access processes, including badging and onboarding of personnel.
  • Manage the site work calendar, rotations, and daily operations to support continuous, organized project activity.
  • Lead and manage site administrative and site safety staff, ensuring they have clear direction and support.
  • Own general conditions planning, including budget distribution, tracking, and documentation of project-related costs.
  • Develop and maintain processes and procedures for accurate time charging and approval for both direct and contracted employees.
  • Administer contract management of third-party labor, coordinating external hiring and vendor relationships as needed.
  • Create, communicate, and enforce site expense guidelines and procedures to maintain financial and administrative compliance.
  • Coordinate internal employee assignments to the site and support onboarding of additional professionals to meet discipline managers' staffing needs.
  • Support project teams by managing resources, resolving administrative issues, and ensuring field personnel have the tools and support needed to execute work.
  • Collect and process timesheets, support payroll functions, manage invoices, and maintain accurate project cost documentation.
  • Obtain quotes, coordinate vendors, support purchasing activities, and assist with procurement efforts before and during project execution.
  • Maintain project records, process documentation, track project-related information, and ensure administrative compliance throughout the project lifecycle.
  • Arrange travel, lodging, and site resources for project personnel, particularly for remote construction project needs.
  • Coordinate communication between field and office teams to support schedules, documentation, and day-to-day operational requirements.
  • Support multiple jobsites as needed, providing multi-site project support and helping launch and sustain large-scale industrial projects.
  • Build and maintain strong relationships with project teams, vendors, and client representatives to facilitate smooth site operations.
  • Protect sensitive information by maintaining confidentiality related to payroll, personnel, and project data.
  • Adapt to evolving business needs, including future project locations, and take ownership of a wide variety of operational and administrative functions.

Essential Skills

  • Experience supporting active construction projects through coordination of schedules, project documentation, communication between field and office teams, and day-to-day operational support.
  • Ability to coordinate project startup activities, including trailer setup, office infrastructure, internet and utility coordination, vendor engagement, and overall site readiness.
  • Proven experience supporting project teams by managing resources, resolving administrative issues, coordinating travel and accommodations, and ensuring field personnel have the tools necessary to execute work.
  • Strong organizational skills with experience maintaining project records, processing documentation, tracking project-related information, and ensuring administrative compliance throughout the project lifecycle.
  • Experience collecting and processing timesheets, supporting payroll functions, managing invoices, and maintaining accurate project cost documentation.
  • Ability to obtain quotes, coordinate vendors, support purchasing activities, and assist with procurement efforts before and during project execution.
  • Experience arranging travel, lodging, and site resources for project personnel while supporting the logistical needs of remote construction projects.
  • Proficiency with Microsoft Office Suite, particularly Excel, Outlook, and Teams.
  • Strong written and verbal communication skills, with the ability to communicate effectively with field and office personnel.
  • Ability to work independently in a remote project environment and manage multiple priorities in a fast-paced setting.
  • Comfort supporting field teams and construction personnel and navigating construction jobsite dynamics.
  • Strong problem-solving skills and consistent follow-through to resolve operational and administrative issues.
  • Ability to maintain confidentiality with payroll, personnel, and project information.
  • Adaptability and comfort supporting a variety of operational and administrative functions across different projects.

Additional Skills & Qualifications

  • Experience working directly on construction jobsites is preferred.
  • Experience with construction documentation, invoice processing, procurement coordination, project start-up, multi-site project support, and cost tracking.
  • Ability to build relationships with project teams, vendors, and client representatives.
  • High level of organization and attention to detail in managing records, documentation, and logistics.
  • Willingness to travel and support future project locations as business needs evolve.
  • Comfort working with large-scale industrial and data center construction projects.
  • Interest in roles that offer significant autonomy, visibility, and ownership of site operations.
  • Motivation to contribute directly to project success and support multiple high-profile jobsites.
  • Desire to grow with an organization that is actively expanding its construction presence.

This position is based onsite in Haskell, Texas, supporting a large-scale data center construction project. The role includes an initial training period in Abilene, Texas before reporting full-time to the project site.
