Job description

We are seeking a highly adaptable, quick-thinking Staffing Office Coordinator to join our fast-paced hospital team. Please note: This is not a standard administrative assistant role. It is a high-visibility, high-stakes position designed for a dynamic professional who thrives under significant pressure and tight time constraints.

In this role, you will serve as the operational heartbeat of our clinical floors, taking full ownership of day-of staffing and recruitment to ensure all hospital units are safely, appropriately, and efficiently covered.

Position Type: Contract Opportunity (Potential to extend with exposure to permanent opportunities)

Pay Rate: starts at $30, increase with experience!

Location: 100% On-Site | 4647 Zion Ave, San Diego, CA 92120

Schedule: Must be flexible for any shift window between 3:00 AM – 11:30 AM, 11:00 AM – 7:30 PM, or 3:00 PM – 11:30 PM (Includes weekends)

Key Responsibilities

  • Daily Hospital Staffing: Drive day-of staffing operations across the hospital by continually assessing real-time unit census and patient care needs.
  • Targeted Deployment: Actively recruit and allocate essential clinical and support staff—including Nurses, CNAs, Monitor/Surgical Technicians, and Hospital Unit Coordinators—to areas of critical need.
  • Compliance & Protocol: Strictly adhere to detailed standard work procedures, operational policies, and complex union contract guidelines when making all staffing and scheduling decisions.
  • Cross-Functional Communication: Serve as the primary central point of contact for staffing adjustments, delivering exceptional customer service and clear communication to department heads, unit managers, and medical staff.

Requirements & Qualifications

  • Education: High School Diploma or equivalent required; Bachelor’s degree preferred.
  • Experience: 2+ years of experience in a healthcare or hospital staffing office environment, specifically managing real-time, day-of staffing and recruitment.
  • Technical Proficiency:
  • Proficient in Microsoft Office Suite (Word, Excel) and Microsoft Teams.
  • Experience with API Healthcare (or similar scheduling software) is a strong plus (training provided for proprietary internal systems).
  • Availability: Flexible to work assigned shifts across day, swing, and night windows, including weekend rotations.
