Office Manager/Assistant Property Manager – Commercial Property Management

Kirkland, WA In-Office

An established, privately held real estate development and investment firm is hiring an Office Manager to keep its small office running smoothly. This hands-on role includes overseeing day-to-day office operations, providing administrative support to the Property Manager, and handling select personal-assistant responsibilities for the company’s principal.

With a small team and a wide range of daily needs, this position is well suited to someone who enjoys wearing multiple hats and takes pride in being the person others can rely on.

The ideal candidate is proactive, highly organized, and comfortable balancing routine office tasks with unexpected requests. Strong attention to detail, sound judgment, discretion, and a willingness to pitch in wherever needed are essential.

Responsibilities:

  • Office Management: Oversee daily office operations, maintain an organized and professional workplace, manage supplies and equipment, coordinate office vendors, answer phones, assist visitors, and handle mail, deliveries, and general administrative needs.
  • Property Management Support: Serve as a point of contact for tenants and vendors, maintain property records, reports, insurance documentation, and correspondence, assist with invoice coding, receivables reporting, late-payment communications, and vendor coordination.
  • Administrative Support: Manage calendars, meetings, conference calls, and appointments, prepare reports and correspondence, organize files and records, track deadlines, and follow up with outside vendors and service providers.
  • Personal Assistance: Coordinate personal appointments, events, vehicle maintenance, and other tasks for the principal, run local errands, assist with vendor invoices, and help coordinate repairs or projects at personal residences and other locations as needed.
  • Project Coordination: Manage multiple assignments, monitor deadlines and follow-up items, communicate with internal and external contacts, and help keep projects moving forward amid changing priorities.

Qualifications:

  • At least 2 years of experience in office management, property administration, executive or personal assistance, or a similarly hands-on administrative role.
  • Experience in a commercial property management office is a plus.
  • Exceptional attention to detail, organization, prioritization, and follow-through.
  • Proactive, resourceful, and able to manage projects independently while anticipating needs.
  • Excellent written, verbal, and interpersonal communication skills.
  • Professional demeanor, sound judgment, and the ability to handle confidential business and personal information with discretion.
  • Comfortable balancing office responsibilities with personal tasks, local errands, and occasional schedule adjustments.
  • Proficient in Microsoft Word, Excel, Outlook, and Teams, with the ability to learn new software quickly. Experience with a property management software is a plus.
  • Valid driver’s license, reliable transportation, clean driving record, and willingness to use a personal vehicle for local work-related travel as needed.

Company Benefits:

  • 100% employer-paid medical, dental, and vision benefits.
  • 401(k) plan and Flexible Spending Account.
  • Three weeks of PTO.
  • Six paid holidays.
  • Free parking.

Compensation: $65,000–$85,000 annually (DOE)
