About National Facility Contractors

National Facility Contractors (NFC) is a facilities services company providing maintenance, construction, and operational support to commercial clients across multiple locations.

Our success depends on effective communication, accountability, responsiveness, and consistent service execution. We are seeking a highly organized, detail-oriented, and proactive Account Coordinator – Operations to help manage daily service activities, coordinate subcontractors, and ensure client service commitments are met.

Position Overview

The Account Coordinator – Operations is responsible for supporting the day-to-day execution of client services, managing work orders, coordinating subcontractor activities, and ensuring services are completed accurately, efficiently, and on schedule.

This is a hands-on operational coordination position, not simply an administrative or customer service role.

The ideal candidate thrives in a fast-paced environment, takes ownership of assigned responsibilities, communicates effectively, and can manage multiple active service requests without losing track of deadlines or details.

You will work closely with account managers, subcontractors, operations personnel, and other internal departments to ensure work is properly scheduled, dispatched, tracked, documented, and prepared for billing.

Key Responsibilities

Work Order Management & Service Coordination

  • Create, update, monitor, and manage service work orders within company operating systems.
  • Coordinate scheduled maintenance, on-demand service requests, and urgent service activities.
  • Track work orders from initial assignment through service completion and documentation.
  • Identify service delays, missed deadlines, and operational issues requiring immediate attention.
  • Ensure services are completed according to client expectations, contractual requirements, and company standards.

Subcontractor & Vendor Coordination

  • Coordinate subcontractor dispatch, scheduling, and service execution.
  • Communicate work order requirements, service expectations, and deadlines to vendors.
  • Follow up with subcontractors to confirm service progress and completion.
  • Address scheduling conflicts, missing documentation, and service-related concerns.
  • Escalate vendor performance issues or service failures to management promptly.

Operational Communication & Problem Resolution

  • Serve as a central communication resource between clients, subcontractors, account managers, and internal operations teams.
  • Provide timely and accurate updates regarding active work orders and service activities.
  • Prioritize urgent service requests while maintaining accountability for routine assignments.
  • Identify operational problems and proactively coordinate solutions.
  • Support emergency service requests, weather-related events, and time-sensitive operational activities.

Documentation, Billing & Administrative Support

  • Verify service completion using photographs, timestamps, service reports, and required documentation.
  • Maintain accurate client, site, vendor, and work order records.
  • Review vendor invoices and verify service rates against work order information.
  • Ensure documentation is complete and accurate to support timely billing and payment processing.
  • Assist with operational reporting, service tracking, and data accuracy.

Required Qualifications & Skills

We are looking for candidates who demonstrate the following:

  • Strong organizational skills with the ability to manage multiple active assignments and competing deadlines.
  • Experience coordinating operational activities, service requests, dispatching, or work order workflows.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, follow-through, and documentation accuracy.
  • Ability to identify problems, prioritize issues, and take appropriate action.
  • Demonstrated ability to work effectively in a high-volume, fast-paced environment.
  • Proficiency in Microsoft Office applications, particularly Excel.
  • Strong customer service and professional relationship management skills.
  • Ability to work independently while collaborating effectively with multiple departments.
  • A strong sense of urgency, personal accountability, and responsiveness.

Preferred Experience

Candidates with experience in one or more of the following areas are especially encouraged to apply:

  • Commercial facilities maintenance or facilities management.
  • Work order coordination, service dispatch, or field service operations.
  • Subcontractor or vendor scheduling and coordination.
  • Multi-location service operations.
  • CRM, work order management, or field service software.
  • Service-level requirements, vendor performance tracking, and operational reporting.
  • Billing documentation, invoice verification, and service completion tracking.

Work Schedule & Expectations

  • Full-time, remote position.
  • Fast-paced operational environment with changing priorities and seasonal workload fluctuations.
  • Flexibility to work evenings, weekends, holidays, or participate in on-call rotations when business needs require.
  • Overtime may be required during severe weather events, peak service periods, or operational emergencies.

What Success Looks Like

Successful candidates will consistently demonstrate the ability to:

  • Keep assigned work orders organized, accurate, and moving toward completion.
  • Coordinate subcontractors efficiently and ensure timely service delivery.
  • Identify potential problems before they become service failures.
  • Communicate proactively with internal teams and service partners.
  • Maintain complete and accurate documentation.
  • Respond quickly to urgent client and operational needs.
  • Take ownership of assignments and follow through until resolution.
