Copper River Shared Services is looking for an Executive Administrative Assistant responsible for providing high-level administrative support to the Chief Executive Officer (CEO) and members of the Board of Directors.

This role requires exceptional organizational skills, discretion, and professionalism to effectively manage confidential information and coordinate various activities and communications on behalf of the CEO and Board.

This role plays a pivotal role in managing administrative tasks, facilitating communication, and ensuring efficiency in the CEO and Board activities.

This position reports to the Chief Executive Officer, and is in Chantilly, VA.

Responsibilities (include but are not limited to) :

  • Scheduling and Calendar Management. Efficiently manage the CEO and Board calendar, including appointments, meetings, and travel arrangements.
  • Communication and Correspondence :
  • Review, prioritize, and respond to emails from the CEO or Board of Directors.
  • Handle phone calls, Instant Message, or text inquiries, and relay messages promptly.
  • Collaborate with other executives and departments to achieve organizational goals.
  • Document Management :
  • Organize and maintain records, documents, and files related to the CEO and Board activities.
  • Prepare and edit correspondence, reports, and presentations and other documentation as required.
  • Meeting Support :
  • Attend board meetings, record minutes, and accurately document discussions and decisions.
  • Facilitate smooth board meetings by coordinating venue logistics, materials, and technology.
  • Expense processing :
  • Prepare, review, and submit expense reports for the CEO and Board of Directors.
  • Prepare monthly Board Fee stipend worksheets for submission and approval.
  • Special Projects and Research :
  • Assist with special projects, research, and strategic initiatives as directed by the CEO.
  • Prepare Word, Excel, agendas, reports, special projects, and other documents in support of objectives for the CEO and Board of Directors.
  • Prepare PowerPoint presentations to assist with committee presentations for the Board.

Requirements :

  • 7+ years as an Executive Assistant supporting C-level Executives or Board of Directors.
  • Bachelor's degree in Business Administration, Communications, or related field preferred.
  • Ability to thrive in dynamic, fast-paced settings and handle shifting priorities.
  • High level of confidentiality and professionalism in handling sensitive information.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Proficient with office software and tools (e.g., Microsoft Office, Powerpoint, Microsoft Teams, Boardable, and Costpoint).
  • Ability to be available full-time with flexible hours.
  • Overnight travel may be required.
  • ANC / Tribal experience and / or 8(a) experience preferred.
