KVC is currently looking to hire a Administrative Assistant for our Beckley Office. In this position you will maintain the office needs, work with current staff and / or clients in different positions.
We are looking for someone that is energetic a great communicator and willing to make a difference in the lives and children and families we serve.
SUMMARY
The Administrative Assistant (AA) will serve as a support to the office staff while managing day to day office functions.
The AA will ensure office safety while assisting with office projects and other duties as assigned by the Regional Director or supervisor.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Commits to organization’s mission.
- Gives attention to detail and prioritizes and manages multiple projects simultaneously and follows through on issues in a timely manner.
- Has excellent organizational, verbal, written, and interpersonal skills.
- Has knowledge of ordering office supplies and scheduling equipment repairs.
- Has high level of proficiency in the use of Microsoft Office programs, especially Word, Excel, PowerPoint, and Outlook as well as internet research.
- Has positive, outgoing, and personable demeanor and is able to relate well with diverse populations and age groups.
- Uses discretion and maintains confidentiality.
- Works well under pressure to tight deadlines and coordinates the input of others in these circumstances.
- Manages petty cash and provides monthly total for funds to supervisor.
- Maintains office conference rooms and kitchen area.
- Acts as liaison for Safety Team and ensures that office meets TJC, state, KVC, and OHFLAC safety requirements.
- Answer phones, direct calls, take messages, and greet public as required.
- Coordinate postage, mailing, and UPS for the office.
- Conduct drill reports as necessary according to safety requirements.
- Acts as the office’s Security and Privacy Representative. Alerts the organization’s Security and Privacy Officer of imminent threats, damage, and / or potentially harmful activity.
- Enters client information in the Chart Online system and sends necessary information to billing personnel.
- Enters FACTS contacts into the FACTS system in a timely manner.
- Scans and uploads client documentation into the Chart Online system.
- Attend all required meetings and trainings.
- Provide support to Home Finder, Case Managers, and Therapists as directed by Supervisor.
- Other duties or tasks as assigned.

EDUCATION and / or EXPERIENCE
High school diploma or general education degree (GED).
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
REASONING ABILITY
Ability to interpret and apply common sense understanding to carry out instructions furnished in written, oral, diagram, or schedule form.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
CERTIFICATES, LICENSES, REGISTRATIONS
Must have valid driver’s license and auto insurance.
