Job description

Male Community Reentry Program Administrative Coordinator I

The Male Community Reentry Program (MCRP) is a residential facility with a capacity of 200 beds, designed for adult males who have less than two years remaining on their prison sentences. Instead of being incarcerated in a state prison, eligible individuals can complete the remainder of their sentences in the community through MCRP. The program offers a variety of rehabilitative services focused on substance use disorder (SUD), mental health care, primary care, employment, education, housing, family reunification, and social support. Treatment for substance use disorders and mental health issues provided by MCRP typically lasts from 6 to 12 months, ensuring comprehensive support for participants.

The Administrative Coordinator I serves a criminal justice population in our Male Community Reentry Program at 6th Street by providing administrative support and data entry into Automated Reentry Management System (ARMS). They will maintain accurate client records and collaboratively work with other team members to ensure compliance with the program's guidelines and procedures and due dates.

Key Responsibilities

Administrative

  • Provide general office administrative and secretarial support.
  • Handle general inquiries.
  • Distribute mail, faxes, and copies.
  • Maintain the general office area and office / kitchen / IT supplies inventory.
  • Coordinate facility and maintenance issues.
  • Work closely with the residential and other administrative teams.
  • Complete assigned training in a timely manner.

Communication and Interaction

  • Answer telephones and check messages.
  • Greet clients and visitors with courtesy and respect.
  • Develop, transcribe, and distribute monthly minutes, reports, and / or general information.
  • Arrange, assist with, set up, and attend meetings, training, conferences, etc.
  • Database Management

  • Prepare, sort, scan, upload, and interpret data that needs to be entered.
  • Enter data and confirm accuracy of data from source documents into ARMS.
  • Review and make necessary corrections to the entered information on a daily and weekly basis.
  • Contact preparers of source documents to resolve questions or inconsistencies.
  • Create, open, update, close, and archive client records in accordance with the program's procedures.
  • Assist in establishing and maintaining an effective record management system.
  • Qualifications

    Education, Certification, or Licensure

  • High school diploma or equivalent required. Higher education preferred.
  • Valid First Aid and CPR certification or ability to obtain within 30 days of hire.
  • Experience

  • Experience working with clients with co-occurring disorders and / or with the criminal justice population preferred.
  • Work experience with spreadsheets, data management systems, and electronic medical records system. ARMS data entry experience is a plus.
  • The Clinical Office Assistant will be responsible for working with a criminal justice population participating in a community-based residential program. The Clinical Office Assistant is responsible for assisting with administrative and scheduling duties in the Health and Wellness Center and assuring that the medical and mental health needs of HealthRIGHT 360 client needs are met.

    The Clinical Office Assistant assists staff and clients schedule and manage medical appointments and other needs in accordance with treatment objectives and as instructed by supervisor.

  • Schedule medical, dental, and mental health appointments with appropriate medical clinics in community
  • Coordinate pharmacy services and delivery of medication
  • Schedule, coordinate, and monitor mental health and medical telehealth services
  • Interface with multidisciplinary team in service delivery
  • Maintain documentation in compliance with applicable Federal, state, and local standards
  • Complete administrative duties associated with the Wellness Center
  • Responsibilities include coordination of all medical services with other providers and completion of all coordinated care documentation
  • Keep organized records for logging received medication and tracking new medication as per the agency standards
  • Coordinate with residents, counselors, nurse, CDCR staff, and outside providers regarding medical treatment, appointments, medication, and follow-up
  • Keep organized records of communication with outside agencies, staff, referrals and treatment
  • Organizes medical requests from residents and submits the documentation to CDCR and program staff. Schedules medical, dental, and mental health appointments with community providers, completes resident documentation (medical requests forms, passes, etc.), coordinate transportation, and maintains a centralized appointment calendar. Communicates with pharmacies and staff regarding medication delivery. Consults with staff regarding clients with medical conditions. Coordinates and keeps accurate documentation of on-site testing for alcohol and drug screening. Responsible for assisting with the documentation of medication including accurate logging and tracking. Responsible for entering personal medical history forms and other medical documentation into EMR and communicating with medical personnel when necessary. Responsible for networking with community stakeholders and communicating effectively regarding our resident's medical treatment.

    Keeps accurate records of client care in accordance with applicable Federal, State and local requirements. Attends staff meetings. Participates in the ongoing integration of behavioral health and primary care within the agency.

    Provides formal and informal education to staff within the agency. Assist in creating agency policies and protocols in regard to medication and medical appointment procedures as well as facilitate staff trainings regarding such policies.

    High School diploma or equivalent

    Medical Assistant Certification in California (desired)

    Ability to clear and maintain a background clearance (must be off of Parole or Probation)

    Experience serving seriously and persistently mentally ill clients with co-occurring challenges. Knowledge of trauma preferred

    Ability to enter data into various electronic systems while maintaining the integrity and accuracy of the data

    Excellent verbal, written, and interpersonal skills

    Integrity to handle sensitive information in a confidential manner

    Ability to work cooperatively and effectively as part of interdisciplinary team and independently assume responsibility
