Job description

A leading healthcare organization is seeking a dedicated and experienced Administrative Services Coordinator II to join our team in Downey, CA. This is a crucial administrative and clerical support role focused on ensuring the smooth daily operations of our Urgent Care (UC) facility. The position begins as a 2-3 month contract with a strong opportunity for extension up to two years, and offers the ability to apply for internal full-time (FTE) positions.

Location : 100% Onsite at 9449 East Imperial Highway Suite, Downey, CA 90242

Schedule : Monday Friday, 8 : 00 AM 5 : 00 PM PST

Compensation : Starts at $28.00 per hour , negotiable based on experience.

Key Responsibilities & Top Daily Tasks

The Coordinator will perform a variety of administrative and clerical duties to support UC operations, requiring strong multitasking and the ability to thrive in a fast-paced environment.

  • Reporting & Data Management :
  • Perform semi-routine data analysis, editing, and formatting to produce regular status reports, graphs, spreadsheets, and presentation materials.
  • Develop and produce standard and ad hoc reports, ensuring data accuracy and proper formatting.
  • Maintain and operate departmental databases and automated systems.
  • Administrative & Clerical Support :
  • Collect pertinent information from team members and managers to support reporting and projects.
  • Coordinate the management of ordering office supplies and serve as a liaison with vendors.
  • Assist in software application training and coordinate hardware / equipment repairs.
  • Workflow Coordination :
  • Respond to requests for information and reports from within and outside the organization, ensuring adherence to established policies.
  • Contribute to and support departmental projects. (When assigned to a medical department, this role may also involve coordinating physician master schedules and coverage.)

Qualifications & Requirements

  • Experience : One (1) year or more of similar experience in an administrative or coordination role is required.
  • Education : High School Diploma or GED is required.
  • Technical Skills (Required) :
  • Proficiency with Windows applications and Microsoft Office Suite , including Outlook and Excel .
  • Soft Skills :
  • Demonstrated great customer service and communication skills .
  • Proven ability to multitask and work effectively in a fast-paced environment .
