Lease Administrator
The Lease Administrator manages lease documentation, including reviewing and abstracting leases, processing rent and invoice payments, and handling reconciliations for CAM, taxes, and insurance. They maintain accurate data in the real estate database and ensure effective communication with internal teams and property owners. Strong attention to detail and organizational skills are essential.
Responsibilities
- Review, analyze, and abstract lease documents into the database accurately, completely, and timely for your assigned lease portfolio.
- Update / maintain information in the company database with complete accuracy, including, but not limited to : landlord / ownership changes, operating expense estimate changes, internal / external contact information, and upload of supporting documentation into the database.
- Prepare monthly rent files for assigned lease portfolio; obtain manager, VP, and finance approval(s); submission of approved rent file(s) to accounts payable department for processing.
- Review and processing of lease-related invoices, including CAM (common area maintenance), real estate taxes, insurance, etc, for your assigned portfolio, ensuring timely and accurate payments to landlords; research lease documents to ensure billing is allowable per lease agreement.
- Research payments made to landlords, returned checks (confirm remittance information, void / reissue check(s) as needed).
- Review rent account statements, communicate with landlords on discrepancies relative to billing statements, and reconcile accounts as needed.
- Obtain Certificates of Insurance (COI) as needed.
- Demonstrate high quality of customer service when supporting the department, other internal departments, and field operations, as well as external customers and landlords.
- Support special projects.
Qualifications
Experience in lease administration, knowledge of contracts, understanding of lease terminology, and lease abstraction requiredHigh School Diploma (minimum) and 2+ years' experience in lease administration or similar role requiredStrong analytical and interpersonal skills, effective and efficient organizational skills, are requiredAbility to multitask, completing time-sensitive tasks per department processes & timelinesHigh-level attention to detail and accuracy requiredExcellent analytical and problem-solving skills are essentialProficiency in MS Excel; Ability to learn and work in multiple software systems as requiredExperience with large-scale lease administration systems (MRI / AMT or alike) preferredAdditional Data
