We are seeking a friendly, organized, and professional Receptionist and Administrative Assistant to be the first point of contact for our company. This individual will manage the front desk and provide a wide range of administrative support across the organization. The ideal candidate will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. The ideal candidate will be someone who takes pride in their appearance and is a person willing to do anything the job may demand.
Responsibilities :
- Greet and welcome guests as soon as they arrive at the office.
- Direct visitors to the appropriate person and office.
- Answer, screen, and forward incoming phone calls in a professional manner.
- Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
- Receive, sort, and distribute daily mail and deliveries.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
- Perform administrative duties such as filing, photocopying, and faxing.
- Schedule appointments and maintain calendars.
- Arrange travel and accommodations for staff.
- Order office supplies and keep an inventory of stock.
- Assist in the preparation of regularly scheduled reports.
- Provide basic and accurate information in-person and via phone / email.
- Perform other clerical receptionist duties as assigned.
Qualifications and Skills :
Proven work experience as a Receptionist, Front Office Representative, or similar role.Proficiency in Microsoft Office Suite (Word, Excel, Outlook).Experience with Quickbooks Online software and Data Entry would be a plus.Hands-on experience with office equipment (e.g., fax machines and printers).Professional attitude and appearance.Solid written and verbal communication skills.Ability to be resourceful and proactive when issues arise.Excellent organizational skills.Multitasking and time-management skills, with the ability to prioritize tasks.Customer service-oriented attitude.High school diploma : additional certification in Office Management is a plus.
