Job Title: Administrative Assistant
Location: Dallas, TX 75201
Duration: 6-Month Contract
Pay Rate: $25 - $29 /hour on W2
Job Overview:
We are seeking a highly organized and proactive Administrative Assistant to support teams within a fast-paced corporate environment. This role requires strong coordination, communication, and multitasking skills, along with the ability to work closely with senior stakeholders and handle confidential information with professionalism and discretion.
Key Responsibilities:
- Provide administrative support across multiple teams, adapting to changing priorities and business needs
- Manage complex calendars across multiple time zones, including scheduling and prioritizing meetings
- Coordinate internal and external meetings, including conference calls, video meetings, and client interactions
- Handle a high volume of phone calls and communications with professionalism and accuracy
- Arrange domestic and international travel, including itineraries, logistics, and visa coordination
- Prepare and process expense reports and invoices in a timely manner
- Coordinate meeting logistics including room bookings, catering, and visitor registration
- Perform general administrative duties such as filing, scanning, documentation, and data entry
- Maintain confidentiality while handling sensitive business and client information
- Support team operations by anticipating needs and ensuring smooth day-to-day functioning
- Ensure adherence to internal compliance policies and procedures
Required Skills & Qualifications:
- 3–5 years of experience as an Administrative or Executive Assistant in a corporate environment
- Strong experience supporting senior leaders or multiple stakeholders
- Excellent organizational skills with the ability to manage multiple priorities
- Strong written and verbal communication skills
- Ability to work effectively under pressure in a fast-paced environment
- High level of professionalism, discretion, and attention to detail
- Proactive mindset with strong problem-solving abilities
- Strong interpersonal skills and ability to collaborate with global teams
Technical Skills:
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Experience with virtual meeting tools (e.g., Zoom)
- Familiarity with expense management tools such as SAP Concur
