Material / Inventory Coordinator
Position Summary
The Material & Inventory Coordinator supports the accurate, compliant, and efficient flow of all cannabis and non-cannabis materials throughout the facility. This role bridges warehouse operations and compliance, ensuring inventory movements are properly tracked in Canix and aligned with cGMP, CSQ Basic, and NYS OCM regulations. The Coordinator maintains real-time visibility of all materials, supports production allocation, and assists with shipping, receiving, and vendor qualification processes.
Key Responsibilities
Inventory Control
Reconcile Cannabis and Non-Cannabis Inventory (NCI) on a regular basis to ensure accuracy between physical counts and Canix records.
Maintain complete traceability of all material movements in compliance with OCM and CSQ standards.
Conduct cycle counts, variance investigations, and periodic full inventory audits.
Enforce FIFO (First In, First Out) and lot-level traceability for packaging and ingredient materials.
Collect and record accurate inventory data for compliance and operational reporting.
Material Coordination
Intake and stage all Non-Cannabis materials (packaging, ingredients, etc.) for production use.
Allocate and record material usage to specific production batches in Canix.
Monitor and replenish critical stock levels to support uninterrupted production.
Support Cannabis material transfers between licensed areas in accordance with internal SOPs and regulatory requirements.
Warehouse & Logistics
Oversee shipping and receiving of all inbound / outbound goods, including forklift operation and safe unloading.
Maintain warehouse organization, cleanliness, and segregation between Cannabis, Non-Cannabis, and quarantine areas.
Prepare shipments, generate manifests, and ensure secure storage of cannabis waste or returns.
Salary
$20 - $21 USD per hour Required Skills
Vendor & Documentation Support
Assist the Compliance Department in vendor qualification via digital submission forms and recordkeeping.
Verify incoming materials meet specification and documentation standards before acceptance.
Maintain supplier certificates, purchase records, and batch documentation in digital systems.
Qualifications
2+ years of experience in manufacturing, warehouse operations, or inventory control (cannabis, food, or pharmaceutical industry preferred).
Familiarity with seed-to-sale or ERP systems (Canix, Metrc, BioTrack, etc.) required.
Forklift certification or willingness to obtain.
Strong attention to detail, organizational skills, and ability to maintain regulatory compliance under time pressure.
Competence with digital inventory systems, Google Workspace, and monday.com a plus.
Ability to work on your feet for extended periods, lift up to 50 lbs, and work in mixed-temperature warehouse environments.
