Assistant Payroll Manager

Job Description

The Assistant Payroll Manager is responsible for the accurate and timely processing of payroll. The payroll manager will support over 800 employees across multiple states and collaborate with stakeholders to ensure payroll accuracy and efficiency.

Functions include, but are not limited to, the following. Must be able to adapt to changing workload and seasonal demands :

• Preparing payroll budget analysis (Actual vs. Budget), ensuring proper employee classification in departments.
• Overseeing weekly and bi-weekly payroll activities, including review of hours, voiding checks / manual checks as required.
• Auditing and reconciling payroll prior to transmission and validating reports.
• Ensuring compliance with all applicable multi-state and federal wage and hour laws.
• Preparing weekly, monthly, quarterly, and year-end reports (gross payroll, hours worked, vacation accruals, tax deductions, benefit deductions, etc.) for management.
• Maintaining current knowledge of applicable wage and hour laws.
• Facilitating understanding of payroll procedures for management and employees.
• Controlling tax tables, deduction codes, and maintaining the payroll control file.
• Responding to payroll-related inquiries.
• Performing ad hoc analyses and supporting special projects as needed.
• Reconciling and processing invoices from third-party labor contractors.
• Auditing timesheets, pay registers, and pay statements from labor contractors for compliance.
• Reconciling payroll liabilities and bank accounts.

Education and / or Experience :

Associates or Bachelor's Degree in Business or related field and 5+ years of progressive payroll experience processed in-house weekly, or equivalent combination of education and experience.

Knowledge, Skills, Licenses, and Certifications :

Working knowledge of labor laws, payroll regulations, and best practices.

Knowledge of UKG and Kronos systems is highly preferred.

Intermediate proficiency in Outlook and MS Excel (including IF statements, VLOOKUPs, PivotTables, etc.).

High accuracy, attention to detail, and customer service orientation.

Self-starter capable of meeting strict deadlines.

Open-minded, flexible, with a problem-solving mindset.

Ability to handle sensitive information confidentially.

Excellent verbal and written communication skills.

Pay Range : $80,000 - $100,000, potentially including a discretionary bonus. Final compensation depends on skills and experience.
