Job Description
Executive Assistant to Chief Legal Officer from Compass Minerals. This role provides administrative support to the Human Resources and Legal departments, including proactive management of work, schedules, meetings, travel, and related duties. The successful candidate will possess excellent written and verbal communication skills, mature and professional judgment, and outstanding time management.
Summary
The Executive Assistant to the Chief Legal Officer will be responsible for providing administrative support to the Human Resources and Legal departments. This position will perform a number of administrative duties, including proactively managing work, schedules, meetings, travel, etc. The Executive Assistant will have excellent written and verbal communication skills, exercise mature and professional judgment, and demonstrate strong time management abilities.
Essential Job Functions
- Handles all administrative and clerical duties to ensure the smooth operation of the assigned department
- Maintains a high level of confidentiality with a large volume of confidential information
- Coordinates schedules, meetings, agendas, travel, expense reporting, etc.
- Organizes and maintains file systems, correspondence, and other records (paper and electronic as required)
- Possesses effective telephone management skills at all levels - from employees to Board Members and internal / external customers
- Composes spreadsheets, presentation materials and internal / external correspondence
- Provides support during events and meetings, including Board of Directors meetings
- Collaborates with executive team members and their staff to help execute and prioritize business strategies
- Provides tactical support to implement ideas; supports special projects and initiatives
- Identifies and helps solve core problems or opportunities within business processes
- Improves efficiency of the executive by taking initiative to set meetings and minimize work conflicts
- Understands business acumen and how their role fits with broader business goals
- Energetic and eager to tackle new projects and ideas
- Team player capable of cultivating productive working relationships enterprise-wide
- Provides department leaders with recommendations and consultation to improve teamwork
- Comfortable with decision-making authority - identifies issues and provides workable solutions, then communicates only pertinent details to the executive
- Demonstrates emotional intelligence and diplomacy
- Planning, overseeing, and implementing strategic initiatives requires experience with project coordination, budget management, data analysis, and strong decision-making skills
- Plans, coordinates, and implements key strategies on behalf of the Chief Legal Officer
- Other duties as assigned
Qualifications
Education and / or Experience
An Associate's degree or equivalent work experienceA minimum of 5 years' experience as an executive assistant reporting directly to senior management is preferredStrongly developed written and verbal communication skillsA strong understanding of general corporate matters and dutiesAdvanced Microsoft Office skills, PowerPoint, Excel, Word and Visio, with the ability to become familiar with company and / or task-specific programs and softwareStrong organizational, project management and problem-solving skills with impeccable multi-tasking abilitiesExperience with project coordination, budget management, data analysis, and strong decision-making skillsPhysical Requirements
