Stokes Counseling Services is a private counseling practice headquartered in Naugatuck, CT. In addition to our work with children and families, we provide individual, family, and couples counseling to adults.

Position Description :

The Office Director is our go-to for operations, systems, and processes that ensure our offices are running efficiently and effectively supporting our clinicians and clients.

Provides day-to-day operational, technical and problem-solving leadership on administrative matters including, but not limited to : patient flow, office operations, customer service, health insurance, billing / coding requirements, and EMR functionality and utilization.

In addition, this role is a key contributor to building and maintaining the culture at Stokes Counseling and must be passionate about the career development of their teams.

This role is based in our Naugatuck, CT headquarters and will have oversight of our offices in Naugatuck and Ansonia. In addition, this role is critical to ensuring our operations enable the practice to effectively deliver telehealth services across the state of CT.

Job Duties :

  • Responsible for the organization and coordination of office operations, procedures and resources to facilitate organizational effectiveness and efficiency
  • Supervises the administrative team members including scheduling, service delivery, and insurance verifications and billing
  • Develops and implements strategies and KPI’s to improve efficiency and productivity within the practice operations
  • Hire, train, and supervise all administrative support staff to ensure exceptional customer service and compliance with policies and procedures
  • Oversee the timely completion of client eligibility and insurance authorizations, ITPs, letters to clients, and discharges
  • Maintain and adjust staff schedules to compliment practice provider schedules and ensure the seamless delivery of services
  • Maintain effective, positive customer service relationships by responding to customer needs, resolving conflicts, and educating employees on customer service
  • Provide oversight of maintenance of physical facilities and office equipment to ensure a clean, safe, and therapeutic environment
  • Perform other duties as assigned or needed, including providing front-desk coverage in the event of unexpected staff scheduling changes

Qualifications :

  • Two to five years of successful experience in managing mid to large-size medical or behavioral health offices preferred
  • Bachelor's degree or equivalent education / experience
  • A strong customer service mindset and willingness to roll up your sleeves to dive into the processes and systems that support the practice’s scheduling, billing and operations teams
  • A passion for the patient and teammate experience
  • Demonstrated experience leading, training and coaching other teammates to improve performance and build a team environment
  • Great people skills, professional demeanor, and the ability and passion to engage a diverse patient base across a wide range of scenarios
  • Proficient with Google Workspace (Sheets, Docs, Gmail) and other similar office technology and computer applications
  • Strong understanding of EMR's is highly preferred
