This position provides administrative support to Coulter Faculty Commons. The Administrative Support Associate provides high-level administrative and operational support to ensure the efficient functioning of the office. This role requires attention to detail and the ability to follow through on tasks and assignments with accuracy and timeliness. The position serves as a primary point of contact for internal and external stakeholders, manages communications and scheduling, coordinates meetings and events, and supports financial processes including budget tracking and reconciliation. The successful candidate will demonstrate professionalism, sound judgment, strong organizational skills, proficiency in Microsoft Office Suite, and a consistent commitment to meeting deadlines and delivering high-quality work.

- Serves as a welcoming and responsive point of contact by managing phone calls, departmental email accounts, and visitors.
- Strong work ethic characterized by reliability, and attention to detail, ensuring accuracy in data entry, document preparation, communications, and financial records while effectively resolving daily office tasks.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams) and willingness to learn university systems including Banner, Emburse, and 25Live.
- Skills in coordinating meetings and events, tracking workflows and deadlines, and proactively anticipating needs.
- Ability to maintain confidential records and exercise sound professional judgment.
- Support financial operations by planning and analyzing the use of funds; tracking commitments and expenditures; and reconciling budget spreadsheets with Banner to ensure accuracy and compliance.
Minimum Qualifications High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Preferred Qualifications Associates Degree or Bachelors Degree. Experience working in education or higher education office environment. Experience coordinating events and managing budgets. Familiarity with university systems including Banner, Emburse, and 25Live.
