Direct Counsel is representing an Am Law 100 firm seeking a Real Estate Paralegal to join its Real Estate practice group in the Phoenix office.
Position Overview
The Real Estate Paralegal will provide high-level legal and administrative support to attorneys within the Real Estate practice group. The ideal candidate will have extensive experience handling complex real estate transactions, demonstrate exceptional organizational and technical skills, and thrive in a fast-paced, collaborative environment.
Core Responsibilities
Draft, edit, and proofread legal documents and correspondence with accuracy and attention to detail.
Assist with real estate transactions, including the preparation and organization of closing documents, title and survey review, and coordination of due diligence materials.
Coordinate new client matters, collect and organize information, and maintain detailed electronic and physical files.
Manage attorney billing processes, including time entry, drafting and reviewing invoices, and liaising with the accounting department and clients as needed.
Process vendor invoices and attorney expense reimbursements in accordance with firm policies.
Maintain accurate records and documentation using the firm’s document management systems and naming conventions.
Manage attorney calendars, schedule meetings and virtual conferences, and ensure efficient coordination of events and deadlines.
Prepare meeting materials, agendas, and correspondence related to real estate transactions.
Open new matters, perform conflict checks using InTapp, and assist in maintaining compliance with firm procedures.
Track attorney CLE credits and coordinate CLE programming logistics as needed.
Complete a minimum of eight (8) hours of continued technical education annually through the firm’s training department.
Collaborate with attorneys, staff, and clients to ensure effective communication and timely completion of all assignments.
Qualifications
Minimum of 5 years of experience as a paralegal in a Real Estate or Business law practice; litigation experience is a plus.
Strong drafting, proofreading, and organizational skills with the ability to manage multiple priorities and deadlines.
Demonstrated ability to work independently and exercise sound judgment.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and legal software systems, including :
InTapp (Time Entry, New Business Intake & Conflicts)
iManage (Work 10, Records Manager)
Chrome River (Expense Management)
Paperless Proforma (Invoice Management)
UltiPro (Time Management)
Strong attention to detail and commitment to delivering high-quality work.
Work Arrangement
This position is based onsite in Phoenix. Employees approved for flexible work arrangements are expected to maintain consistent, reliable attendance during scheduled work hours and be accessible via instant message, Zoom, email, voicemail, and phone.
