About the Role
We are looking for a motivated Commercial Lease Administrator to join our Long Island City office. This position is ideal for someone with property management or administrative experience who is eager to grow in the commercial real estate field.
Responsibilities
- Review and maintain commercial lease documents, amendments, and renewals.
- Track key lease dates, rent schedules, and obligations throughout the lease term.
- Enter lease information into property management software and update Excel tracking sheets.
- Assist the property management by maintaining accurate lease data and rent tracking.
- Track rent escalations and basic utility or tax adjustments.
- Manage rent collection status and update payment records.
- Maintain certificates of insurance and ensure tenant compliance with lease terms.
- Communicate with tenants regarding lease terms, renewals, and billing inquiries.
- Notify the Property Manager of tenant issues or concerns requiring attention.
- Prepare simple reports and provide administrative support to the Commercial Property Management team as needed.
- Assist with gathering documents for annual CAM reconciliations.
Tenant Relations
Interact and maintain positive, professional relations with all tenants.Handle tenant inquiries regarding billing and other related items.Notify the property manager of all tenant issues or problems.Other Duties
Assist the Commercial Property Management team in various other functions, as requested. Nothing in this job description restricts management’s right to assign, or reassign, duties and responsibilities to this job at any time.
Qualifications
1–3 years of experience in lease administration or property management.Familiarity with lease terms and real estate documents preferred.Proficiency in Microsoft Excel; experience with MDS, or similar systems a plus.Excellent attention to detail and strong organizational skills.Clear written and verbal communication skills.Ability to work independently and as part of a team in a fast-paced environment.Physical Requirements
Must be able to remain in a stationary position 50% of the time.Must be able to occasionally move about the office to access file cabinets, office machinery, etc.Must be able to constantly operate a computer and other office equipment, such as copy machine, and computer printer.Must be able to effectively communicate with office staff, tenants, vendors, attorney’s, etc., and must be able to exchange accurate information during these interactions.Pay range and compensation package
$55,000 to $60,000 per year
