We are currently seeking a PostAward Analyst I to join the Grant and Contracts Services (GCS) team. The Post-Award Analyst I works collaboratively with Principal Investigators (PI’s), Department Administrators (DA’s), department and technical staff, campus administrative offices, and funding agencies to support the WHOI research community once an award is received by WHOI. Those activities include (but not limited to) facilitating the establishment of projects, ensuring compliance with funding and reporting regulations/guidelines, and monitoring the accounts in conjunction with departments and other offices. We are seeking an Analyst with particular interest in managing foundation funding, working closely with the WHOI Development office on gift management as well as overseeing and managing institutionally funded projects in partnership with the Office of Deputy Director Vice President for Science & Engineering Staff.
Candidates should have 1-2 years of experience in research administration/grants management in an academic, academic medical center or research office setting involving interactions with individuals at all levels and experience providing high-level customer service as well as knowledge of federal and non-federal Research Administration/Grants Management in a department, central office or nonprofit setting. This is a full-time, exempt position and is eligible for benefits. This position will have the option to be partially remote, fully remote, or fully on campus.
Essential Functions
The Post-Award Analyst I will be responsible for a portfolio of awards for multiple PI’s within assigned departments.
- Responsible for the post-award process for less complex awards within an assigned portfolio to include:review award documents,communicate terms, conditions, restrictions and/or budgetary controls to PI and department,work with PI /department on changes from proposal to award,establishprojectsandbudgetsinthegrantsmanagementand financial systems,work with PI and department on modifications to award,follow up on required milestone reporting,monitor expenses for compliance and items that require pre-approval from sponsor,monitor subrecipient spending on award,monitor status of cost share,monitor projects for unspent balances and cost overruns,prepare and submit timely financial reports,confirm final balances for extensions,prepare and close inactive/ended awards.
- Regular coordination and communication with PI’s, administrators, funding agency representatives and the GCS Preaward team are required.
- On behalf of PI's and working closely with Center/Department Administrators, submit requests for agency approved contractual changes such as pre‐award spending, no‐cost extensions, re‐budgeting, change of PI, addition of subcontract, and other relevant issues for awards within portfolio.
- Facilitates the preparation and submission of required reports and close‐out documents to funding agencies in accordance with agency and Institution requirements.
- Serve as liaison between and among PI’s, DA’s, funding agencies and campus administrative offices for awards within portfolio.
- Provide subject-matter knowledge on all relevant federal rules, guidelines, policies and regulations relevant to Postaward activities and develop, in partnership with GCS, Finance, and legal colleagues, internal policies, guidelines, business processes, procedures and training to support compliance with these federal rules, guidelines, policies and regulations, i.e., Uniform Guidance, FAR clauses, NSF PAPPG, etc.
- Coordination with preaward and subaward teams to support high-quality service throughout the sponsored research life cycle.
- In collaboration with Director, GCS and Post-Award Manager compile statistics and other data for reports from WHOI and funding agency systems.
- Assist team to develop and deliver trainings, workshops and other activities that support the WHOI research community to improve skills in the area of award management, oversight of cost share, management of reporting deliverables, and overall administration of sponsored programs.

Education & Experience
Education:
- Bachelor’s degree or equivalent combination of education and experience.
Experience/Skills/Abilities:
- Exposure to research administration/grants management in an academic, academic medical center or research office setting.
- Good customer service focus with the ability to interact and collaborate with diverse internal and external constituents.
- Ability to read, analyze, interpret, negotiate, and manage documents, federal contracts, and agreements.
- Facility with budgeting and reporting using Microsoft Excel.
- Knowledge of or exposure to research administration methodologies, practices and policies, including federal regulations and statutes.
- Knowledge of or exposure to diverse funding agencies and sponsors.
- Good organizational skills and time management essential.
- Ability to work well in a team.
- Ability to work independently, proactively and flexibly.

- Knowledge of or exposure to ERA systems (Streamlyne, Kuali, Coeus, InfoEd, etc.), Microsoft Office applications (i.e., Excel, Word, and PowerPoint); Google tools (i.e., Gmail, Docs, Sheets, Form, etc.).
Preferred:
- Certified Research Administrator (CRA).
- 1-2 years directly-related postaward departmental or central research administration/grants management experience.
- 1-2 years experience in research administration/grants management in an academic, academic medical center or research office setting involving interactions with individuals at all levels and experience providing high-level customer service.
- Experience reviewing less complex Federal proposals and awards (grants, contracts, cooperative agreements) such as NSF, ONR, and DoD.
- Knowledge of federal and non-federal Research Administration/Grants Management in a department, central office or nonprofit setting.
- Working knowledge of sponsored research-related compliance and guidance regulations including OMB Circulars (UG), FAR Clauses, and NSF Proposal and Award Policies and Procedures Guide (PAPPG).
- Working knowledge of Electronic Research Administration (ERA) systems (Streamlyne, Kuali, Coeus, etc.).
