We are hiring for a great client in Newport Beach seeking a dependable and organized Administrative Assistant to support a busy operations team. This is an on-site, contract position (~2 months) offering hands-on experience and exposure to a dynamic operational environment.
Key Responsibilities
- Review and process invoices with a high level of accuracy.
- Answer and route incoming phone calls; provide warm, patient, and professional customer service at all times.
- Track data, update logs, and route documents / forms for approvals; maintain organization and accuracy.
- Assist with Purchase Requisitions by collecting forms from project managers, reviewing for completeness, and routing for approval.
- Manage Contract Change Order forms : receive requests, coordinate additional information, obtain approvals, and submit for entry.
- Support general administrative and clerical needs to keep daily operations running smoothly.
Qualifications
Prior administrative or customer service experience preferred.Strong communication skills and a professional and friendly personality.Highly organized with strong attention to detail.Willingness to learn new processes and procedures with provided training.Bachelor's degree is a plus.Reliable, punctual, and able to work the full on-site schedule (M-F, 7 : 30am - 4 : 30pm).
