Administrative Assistant
We are looking for an experienced Administrative Assistant to join our team on a long-term contract basis. Based in Los Angeles, California, this position plays a vital role in ensuring the smooth operation of programs within a non-profit environment. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple tasks while maintaining excellent communication with staff and program participants.
Responsibilities :
- Coordinate and schedule meetings, events, and training sessions to support program activities.
- Maintain accurate program data and ensure compliance with tracking and reporting requirements.
- Monitor program-related expenses and assist with budget tracking and documentation.
- Manage inventory by ordering office and program supplies, ensuring cost-efficiency.
- Maintain and update calendars for staff, meetings, and program schedules.
- Provide administrative support by drafting correspondence, preparing materials, and keeping records organized.
- Assist visitors and staff with inquiries, offering clear and helpful information related to programs.
- Work occasional evenings and weekends to support events or program needs.
Requirements :
Minimum of 2 years of experience in administrative support, ideally within a non-profit, government, or program-focused setting.Proficiency in Spanish is preferred, with strong verbal and written communication skills.Exceptional organizational abilities to manage multiple tasks and meet deadlines effectively.Competence in administrative tasks such as data entry, receptionist duties, and answering inbound calls.Strong attention to detail and accuracy in maintaining records and program data.Ability to work collaboratively with diverse teams and program participants.Experience in managing schedules and coordinating events efficiently.
