Sr. Executive Assistant / Operations Manager , Consulting, Boston (3 days in office)

They are committed to having a significant impact on one of the most diverse sectors of the global economy. The Boston office is a collaborative team of about 35 professionals. As Senior EA / Operations Manager, you’ll focus approximately 70% on supporting the two most senior leaders of the organization- the Founder / Managing Partner and a Senior Partner- and about 30% on oversight and coordination of office operations.
What you'll do :
Executive Partnership (Approximately 70% of the Role)
The Executive Assistant & Operations Manager will serve as a trusted partner to two senior leaders : the Founder / Managing Partner and a Senior Partner. Key responsibilities include :
- Executive Liaison : Acting as the primary point of contact between executives, internal teams, and external stakeholders, handling sensitive information with the utmost discretion and professionalism.
- Logistics Mastery : Expertly managing complex and multi-time-zone calendars, proactively scheduling meetings, and ensuring executives are prepared with all necessary materials.
- Travel Coordination : Organizing comprehensive domestic and international travel, including detailed itineraries, while ensuring arrangements are both smooth and cost-effective.
- Administrative Support : Managing accurate expense reporting, assisting with business development tracking, and contributing to special projects as assigned.
Operations Leadership (Approximately 30% of the Role)
This role oversees critical operational functions for the Boston practice, ensuring a productive and well-managed environment :
Office and Facility Management : Directing the day-to-day operations of the office, which includes overseeing facilities, supplies, catering, and vendor relationships.Internal Technology Coordination : Partnering with vendors and internal teams to facilitate smooth IT operations for the consulting practice. This includes managing new hire setups, user accounts, and supporting the administration of Office365 and SharePoint systems.Event Planning : Taking the lead on the planning and execution of firm-wide and internal events, managing logistics, communications, and budget adherence.Legal Administration Support : Managing the DocuSign and legal inbox processes, executing contracts as advised, and maintaining organized legal records.About you : The ideal candidate is a proactive, dynamic, and resourceful professional with an operational mindset and a proven track record of administrative and organizational excellence.
Experience : Our client is seeking candidates with a Bachelor's degree and approximately 4-5 years of experience supporting senior executives, ideally within financial services, startup, consulting, or investment sectors.Skills : Exceptional organizational skills, very strong attention to detail, relevant technology skills, and a take the ball and run with it approach are essential.Work Environment : A candidate who thrives in a fast-paced, entrepreneurial environment and has the willingness to "wear many hats" will be successful.Schedule : The standard hours are a predictable 8 : 30 AM to 5 : 00 PM or 9 : 00 AM to 5 : 30 PM, with minimal to no overtime expected. This is a hybrid role, with 3 days weekly in office required.
