General Description of Duties

Starting placement will generally not exceed 15% of the advertised minimal salary and is based on qualifications, experience, and internal equity. GENERAL DESCRIPTION OF DUTIES : To process and facilitate quick and accurate delivery of administrative support to Code Compliance functions and provide backup to the Code Compliance Program in order to centralize, coordinate, and facilitate the quick and accurate delivery of available fiscal, record keeping, code compliance and citizen review board services to the residents and property owners served by the Department of Development Support and Environmental Management of Leon County in order to achieve compliance with the adopted ordinances and policies regarding development support and environmental management. ESSENTIAL DUTIES

Research and process Compliance Certification Letter (CCL) requests for open code violations and lien research requests within the unincorporated area. Provide support for the Abandoned Property Registration (APR) Program. Provide back-up for the Code Compliance Program. Assist Code Inspectors with setting up Code files, case research; composing and mailing of Notice of Violations; and other administrative support tasks. Verify and process Certificate of Liability Insurance and Workers' Compensation documents. Receive complaints via phone, in person or in writing. Enter complaints in the Accela software according to policies and procedures. Conducts and coordinate administrative, operational and policy special projects as directed by the Supervisor or the Department Director. Provide support for the Refueling Assistance for Persons with Disabilities Program (RAP).

DIFFICULTY

Employees in this position perform work tasks that involve general and specific knowledge of office and program functions and activities. Work involves maintaining a high level of customer service for walk-in customers and those on the telephone. Work also involves being able to meet legal deadlines, and the ability to interpret and disseminate information on County policies and procedures, codes, ordinances, and Florida statutes. Independent judgment must be used to meet deadlines while maintaining established workload.

RESPONSIBILITY

Supervision Received : This position's duties are somewhat defined and periodically checked. This position has access to supervisor and / or lead co-worker when needed. Supervision of Others : None. INTERNAL AND EXTERNAL CUSTOMER CONTACT Work involves contact with employees in other departments and various organizations outside the County to obtain or supply information. Work also requires contact with the general public.

EQUIPMENT AND TOOLS USED

Tools and equipment used include, but may not be limited to, personal computer; word processing / spreadsheet and database software; Microsoft Suite and specialized software such as Accela, and a multi-line switchboard.

WORK ENVIRONMENT AND PHYSICAL DEMANDS

Work is performed mainly indoors, in an office, usually seated in a chair. Work requires some walking, standing, and dexterity and speed in the operation of office equipment.

KNOWLEDGE, SKILLS, AND ABILITIES

Knowledge of multi-line switchboard. Ability to screen calls, take messages, and direct calls. Skill to effectively perform as a receptionist and answer switchboard. Skills in communicating clearly, effectively and tactfully. Skilled in typing, word processing. Ability to maintain computerized records. Ability to efficiently organize, prioritize, understand and meet deadlines.

MINIMUM QUALIFICATIONS

Requires a high school diploma or an equivalent and three years of professional administrative and / or customer service work experience or an equivalent combination of training and experience. NECESSARY SPECIAL REQUIREMENTS Must possess a valid State of Florida Class "E" operator's license and have a favorable driving record. All Leon County employees (regular full-time and part-time, OPS, and PRN) are required to work before, during and after a Declared Local State of Emergency (DLSOE). Participation is considered a condition of employment.
