Job Summary :
The Data Management Analyst manages all aspects of the Institutional Advancement Salesforce database and related applications, including the integrity and security of the data within them. The role processes gifts—totaling several hundred thousand dollars per year—and collaborates with IT, Business & Finance, the Foundation Board of Directors, vendors, and other key stakeholders to maintain a secure, accurate, and efficient data environment that supports increased engagement and fundraising for ECC and the ECC Foundation. This position provides critical information to college and foundation stakeholders, enabling data‑driven decision‑making that has far‑reaching impacts across the campus community.General supervision is received by the assigned manager.
Required Knowledge, Skills & Abilities :
- Bachelor’s degree in Data Science, Information Systems, Business Analytics, or a related field; or an equivalent combination of training and experience.
- Four or more years of proven experience in data analysis, reporting, and database management, preferably in a non‑profit, higher‑education, or fundraising environment.
- Proficiency in fundraising CRM software, preference for Salesforce Non-Profit Success Pack, or similar (e.g. Blackbaud Raiser’s Edge NXT
- Proficiency in Microsoft Office Suite products, including Outlook, Teams, and Word, and advanced proficiency in Excel
- Familiarity with non-profit accounting standards and best practices is a plus
- Ability to independently manage and prioritize multiple projects and to meet deadlines
- Demonstrated experience presenting and discussing statistical analysis and research findings to a wide variety of audiences with varying levels of statistical understanding
- Ability to produce and communicate written information and oral presentations in a professional manner to a variety of audiences
- Excellent oral communication.
- Must be available to work a flexible schedule, including evenings and weekends when required by the department’s needs
Desired Knowledge, Skills & Abilities :
Familiarity with student information systems, e.g., Ellucian Colleague.
API / backend coding experience
Familiarity with non‑profit accounting standards and best practices.
Familiarity with Salesforce Marketing Cloud or similar digital marketing automation and analytics platforms.
Essential Duties :
Records and processes all gifts and donations to the Elgin Community College Foundation, including online donations, pledge payments, in‑kind contributions, and event registrations.Ensures the accuracy and reconciliation of gift records and allocations in conjunction with the Finance Department, particularly for compliance with IRS regulations and annual audit requirements, on both a monthly and annual basisMaintains and updates donor, alumni, and other constituent records in the Salesforce CRM to ensure accurate tracking of relationships. Updates are completed both on an individual‑record basis and at scale through large data imports (e.g., annual uploads of new graduate alumni records).Collaborates with the IT team to ensure the smooth implementation and maintenance of systems; leads and executes data cleanup and similar projects as assigned.Creates and codes new accounting database objects (e.g., scholarship and program funds) in coordination with the Finance Department.Coordinates and communicates with Advancement leadership and staff regarding data requests and reporting.Creates, analyzes, and maintains standard and custom reports, graphs, charts, lists, and other outputs for Institutional Advancement staff, college departments, and Foundation Board / committees, ensuring all items are properly cleaned and formatted.Exports and works with data in a variety of file types, including Excel, CSV, and PowerPoint.Generates reports upon request or on a regular schedule, depending on the report type (e.g., monthly fundraising report).Produces complex data segments within reports for donor identification, cultivation, and solicitation, including segments used within Salesforce Marketing Cloud.Serves as the administrator for the credit card payment processor, ensuring proper connections to giving forms and related platforms, including event registration pages.Maintains strong, collaborative relationships with departmental leaders and representatives across campus.Serves on appointed college committees and groups, representing the Advancement office as needed.Attends workshops and meetings—particularly those involving the IT department—to support transitions to new software or technologies.Develops expertise to train and cross‑train Advancement and Foundation staff on CRM software usage and best practicesMaintains required training, licensure and / or certificationsMaintains confidentiality of privileged information and adheres to applicable privacy lawsDemonstrates sensitivity, understanding and respect of diverse populations within the workplace.Maintains an understanding of the work of colleagues to effectively provide backup and / or support for co-workers during times when the division is short-staffed or experiencing an increased volume of work.Adheres to department guidelines for attendance and punctuality
