Senior Client Service Associate
Reports to : Director of Operations
Status : Exempt
As a Senior Client Service Associate, you will play a pivotal role in delivering exceptional wealth management experiences to our clients and advisors. You will act as a primary point of contact for client service needs, ensuring the seamless execution of account operations, investment servicing, and follow-up activities that support the firm’s advisory team. This role combines relationship management, operational expertise, and client service excellence.
Key Responsibilities :
- Client Relationship Support
Serve as a trusted point of contact for clients, ensuring timely and professional resolution of service requests.
Create, track, and manage follow-up tasks based on client interactions, ensuring prompt and accurate completion.Maintain ongoing communication with clients to provide updates and reinforce Apollon’s commitment to superior client care.Account and Operations ManagementSupport advisors and clients in all aspects of account servicing, including :
New account openings
Money movements, transfers, and contributionsDistributions and RMDsAddress and beneficiary changesGeneral maintenance requestsExecute operational tasks via custodians such as Fidelity, Schwab, and LPL.Coordinate with internal departments to ensure seamless client experiences across the firm.Collaborate with advisors to execute trading instructions and assist in managing client investment portfolios.Ensure all activities adhere to compliance and regulatory standards.Process and EfficiencyTrack and report on the progress of client and advisor requests within Salesforce or other firm systems.
Help document and refine operational processes and procedures to improve department efficiency.Identify and recommend workflow enhancements to increase accuracy and client satisfaction.Uphold firm policies and procedures with a focus on accuracy, timeliness, and regulatory compliance.Minimum Education :
Bachelor’s degree requiredSkills and Experience :
3+ years of recent financial services industry experience required, ideally in wealth management or investment advisory.Proficiency with custodial platforms (Fidelity, Schwab, LPL required).Familiarity with Salesforce CRM strongly preferred.Strong understanding of client account operations and investment servicing workflows.Excellent interpersonal and communication skills—both written and verbal.Exceptional organizational skills with the ability to manage multiple priorities effectively.High attention to detail and accuracy.Proficiency in Microsoft Office Suite and Adobe Acrobat.Industry licensing (e.g., Series 7, 66) not required but a plus.Commitment to maintaining confidentiality and building long-term client trust.Self-starter with a proactive approach to problem-solving and continuous improvement.Apollon Wealth Management is an Equal Opportunity Employer M / F / V / D and Drug Free Workplace
