Service Operations Coordinator
Overview
Serve as a liaison between Stafford Logistics and Field Technicians to ensure the prompt return and proper processing of unused or damaged materials, with complete and accurate documentation.
Key Responsibilities
- Coordinate with Field Technicians to ensure unused / damaged materials are returned with all required paperwork completed.
- Maintain a return log for STOs and RMAs; update weekly with Logistics to ensure timely processing.
- Resolve inventory-related transaction errors in SAP and CRM.
- Assist with preliminary reviews and monthly reconciliations of field-based storage locations; support audit activities.
- Support invoicing activities related to Field Work Orders (FWOs).
- Process products in transit to / from warehouses in SAP and CRM.
- Collect and record shipping information from Field Technicians; systematically receive products on their behalf.
- Open all Preventive Maintenance FWOs and close zero-dollar billing FWOs.
- Provide backup coverage for the Service Coordinator during high demand, vacations, sick days, and other PTO.
- Support Service Operations with ad hoc projects as needed.
Skills & Experience
3–5 years’ experience in a service-oriented business using a field service CRM (e.g., Salesforce, ServiceMax, or similar).SAP proficiency with strong interpersonal and collaboration skills.Proven success in fast-paced environments with shifting priorities.Understanding of field-based operations (prior roles such as Service Coordinator or Project Coordinator preferred).Comfortable communicating online, by phone, and in person; strong written and verbal communication.Required Technical Skills
SAP : Logistics, Purchasing, Inventory Management, and Invoicing modules.CRM : Salesforce, ServiceMax, or other field service–based CRM.Microsoft 365 : Outlook, Teams, Excel (advanced) , Word, PowerPoint, SharePoint.Reporting / Analytics : Ability to access and navigate web-based reports (e.g., SAP Fiori, BI, HANA ).Education
Associate’s degree or higher preferred.
