Responsibilities : Bid Management :
- Manage and prioritize a high volume of bid invitations (approximately 120 per week).
- Notify prospective customers of Sutter participation choice in the bidding process.
- Download, organize, and distribute project documents (plans, specifications, addenda) to the estimating team.
- Track and maintain a centralized log of bid invitations, deadlines, and follow-ups.
- Assist in creating and submitting bid packages, ensuring all required documentation is accurate and complete.
- Assist in requesting a bid bond.
Contract Administration :
Review subcontracts for scope, terms, and accuracy, ensuring alignment with the project requirements.Identify and address inconsistencies in subcontract terms or scope.Coordinate with subcontractors and Accounts Payable to gather necessary documentation to execute the contracts (insurance, W-9s, etc.).Maintain subcontractor and vendor records in compliance with company policies.Project Coordination :
Follow up on pending bids and proposals to determine status and secure feedback.Communicate updates to the vice president of estimating, estimators, and other relevant team members.Provide administrative support to ensure smooth handoff of awarded projects to the operations team.Administrative Support :
Maintain reports and summaries for management on bid activity and project status.Assist in maintaining databases for bid tracking, customer relationships, and project documentation.Schedule meetings and coordinate communication between internal teams and external clients.Other Duties :
Assist with onboarding new subcontractors and ensuring they meet company qualifications.Coordinate pre-bid meetings, site visits, and follow-ups with clients or project owners.Support estimators by gathering project documents, filling out CRCs, or organizing project-specific information.Provide additional administrative support to the vice president of Estimating as required.Occasional after hours marketing events and shows as needed.Disclaimer : All job requirements are subject to possible revision to reflect changes in the position requirements.
Qualifications :
High school diploma or equivalent required.Experience : 3+ years of experience in a similar role within the construction industry, preferably in estimating or contract administration.Strong organizational and multitasking skills with the ability to manage a high volume of requests and deadlines.Excellent communication skills, both written and verbal, with a customer service mindset.Proficiency in Microsoft Office Suite (Excel, Word, Outlook).Strong attention to detail, particularly in reviewing contracts and project documentation.Ability to work collaboratively with estimators, project managers, and operations staff.Knowledge of roofing systems, materials, and terminology is a plus but not required.Benefits :
