Job description

Position : Executive Assistant to the President, WHSP Medical, P.C.

Location :  Brighton, MA (in-person)

Hours : Approximately 9 : 00 a.m. - 6 : 00 p.m., flexibility required.

About Us :

The Women's Health Sports and Performance Institute is a pioneering startup organization dedicated to advancing research on female athletes and ensuring this vital information reaches athletes and their support teams. We're a mission-driven team making a significant impact in women's sports and health. WHSP Institute is led by Dr. Kathryn Ackerman, President. Dr. Ackerman is a triple-boarded physician in Internal Medicine, Sports Medicine and Endocrinology, Co-Chair of the US Olympic and Paralympic Women's Health Taskforce and the Chair of USRowing's Medical and Sports Science Committee. She also leads WHSP Medical, P.C., a medical practice providing care to athletes of all ages and abilities.

The Role :

We're seeking an exceptional Executive Assistant to Dr. Kathryn Ackerman for her work at the WHSP Institute. This role goes beyond traditional administrative support : you'll proactively solve problems, independently manage initiatives, and drive projects so Dr. Ackerman can focus on strategic priorities. In our small, fast-paced startup, you'll operate with limited guidance, anticipating needs, resolving challenges, and ensuring seamless operations.

Key Responsibilities :

  • Serve as a strategic partner to Dr. Ackerman, proactively identifying issues and resolving them before they require her attention.
  • Manage complex calendar coordination and prioritize competing demands on Dr. Ackerman's schedule.
  • Act as an effective gatekeeper for emails, calls, and requests; triage, track, and follow up promptly.
  • Uphold strict confidentiality and sound judgment when handling sensitive information and documents.
  • Take ownership of projects and initiatives, driving them forward independently and reporting progress regularly.
  • Interface professionally with external organizations and key stakeholders.
  • Perform essential administrative tasks while maintaining focus on higher-level problem solving and priorities.
  • Adapt quickly to changing priorities in a fast-paced startup environment; assist with ad hoc projects as they arise.

Qualifications :

The ideal candidate will have :

  • A Bachelor's degree or equivalent, with a record of academic success
  • Five or more years of experience supporting senior executives in fast-paced environments
  • Excellent organization and communication skills, especially for interacting with outside constituents
  • Comfort with technology and learning new systems. Proficiency with Microsoft Office suite (Outlook, Excel, Word, and PowerPoint)
  • Proven problem-solving and project management track record
  • Flexibility to occasionally work evenings / weekends for critical tasks
  • Experience in a startup or small, unstructured company environment (preferred)
