Description

GENERAL SUMMARY/ OVERVIEW STATEMENT:Summarize the nature and level of work performed. Please note that this section should be written in a paragraph format and provide a broad description of the role and its purpose as well as the reporting structure.

Receiving general direction from the Sr. Grant Administrator and various PI’s of the A. A. Martinos Center for Biomedical Imaging, the Grant Administrator is responsible for pre-award grant and contract administration (NIH, other Federal, Industrial and Foundation Grants, Contracts and Service Agreements).Provides guidance and support to a wide variety of investigators regarding budget and biosketch preparation and all aspects of pre-award policies and procedures for a high-volume research center.Requires a high degree of initiative, discretion, ability to prioritize, multi-task, complete tasks with a high degree of accuracy and handle confidential information.The Grant Administrator maintains timely coordination and communication with involved parties and serves as liaison between internal and external groups throughout the pre-award grant process.

The incumbent will assist with the development of standardized operating procedures to streamline business operations and maintain efficiency.

PRINCIPAL DUTIES AND RESPONSIBILITIES: In order of importance, list essential areas of responsibility, major job duties, special projects and key objectives for this position. These items should be evaluated throughout the year and included in the written annual evaluation. This section should be completed as a bulleted list and explain how the role is performed.

·Work with faculty and fellows in the preparation of research proposal applications for grants in compliance with sponsor guidelines and Institute standards for excellence.

·Prepare budgets and budget justifications; ensure proposal compliance with Hospital and grantor policies and procedures, as well as those of subcontracting institutions.

·Serve as liaison to subcontracting institutions.

·Maintain updated other support pages in shared electronic files for proposals, JIT, IRB and IACUC requests.

·Monitor proposal compliance issues by working closely with Partners Research Management, Principal Investigators and Departmental Management.

·Create InSight records for industry-sponsored studies, MTAs, CDA’s ect.Act as liaison with Partners Innovations and Clinical Trials Office (CTO).

·Maintain updates to checklist for various NIH award mechanisms for distribution and use to faculty and fellows.

·Update and present PowerPoint slides on K award orientation.

·Maintain grant data base to ensure all information is current and accurate.

·Maintain current working knowledge of federal and private sponsor regulations.

·Reviews in accordance with Partners Research Management the terms and conditions of contracts, subcontracts, and purchased service agreements with federal and state agencies, foundations, industry, and not-for-profit entities.

·Initiate triage for agreements as necessary and work to ensure they reach the correct office/department.

·Interpret and explain terms and conditions to internal staff and sponsor representatives.

·Ensure that grant submissions comply with all policies of the Hospital, granting institutions and subcontracting agencies.

·Ensure all electronic records are kept up to date with the most current documentation and information.

·Effectively work with Management and Principal Investigators and be able to identify potential risks to the institution and escalate issues appropriately in a timely manner

·Attend monthly Research Administration Discussion Group (RADG) meetings and periodic training sessions to remain current with federal, state and other sponsor requirements and policy issues.

·Report generation and special projects as needed by management.

·Participates in department, hospital or system wide groups and task forces as requested and appropriate.

·Proficiency in financial analysis and keen attention to detail.

·Ability to work very independently and within a team environment with all levels of staff

·Possess excellent analytical skills

·Ability to articulate policies and requirements to senior management, faculty, staff and sponsoring agencies.

·Excellent oral and written communication skills.

·Proficiency in Microsoft Office Suite.

·Excellent problem-solving skills.

Qualifications

EDUCATION:

Required: Bachelor's Degree

Field of Study/Additional Specialized Training:healthcare field preferred

EXPERIENCE:

·Required: 1-3 years of related experience with Research Grants.

·Demonstrated research administration experience with pre-award emphasis.

·Working Knowledge of NIH and other federal, state and foundation regulations and requirements.

FISCAL RESPONSIBILITY:

Responsible for developing grant application budgets ranging from $100,000 - $2,000,000.

WORKING CONDITIONS:

·Work performed in an office setting within a large research center.Limited exposure the laboratory settings.
