Description

Summary : Reporting jointly to the Director of Advancement Communications and Donor Relations and the Director of Planned Giving, the Advancement Coordinator provides essential administrative, project, and communications support for the Advancement Communications / Donor Relations and Planned Giving teams. This role helps strengthen donor engagement by coordinating reporting, recognition, and stewardship activities; assisting with the planning and execution of communications, projects, and events; and supporting the operations of the Planned Giving program and the communications with planned giving prospects and John Cleve Green Society (JCGS) members. The Coordinator manages timelines and logistics, maintains accurate records, and collaborates with colleagues across Advancement to ensure that prospect and donor relationships are nurtured with professionalism, efficiency, and care.

Essential Duties & Responsibilities :

Key responsibilities for Stewardship and Advancement Communications :

  • Coordinate the production and distribution of donor stewardship reports, acknowledgments, and impact communications; manage complicated matching data in-house and vendor-supported mailings.
  • Assist in managing recognition programs, including named funds, faculty chairs, and scholarships.
  • Maintain systems and processes to track donor engagement and stewardship activities.
  • Scan, upload, submit batches, and update database records as needed for Stewardship reporting.
  • Help with regular data pull / report / list prep and reviews for giving societies, top donors, and other related initiatives.
  • Provide logistical support for donor events and recognition opportunities.

Key responsibilities for Planned Giving and JCGS :

  • Working with colleagues across departments, run and update regular suite of reports for reviewing PG prospects, portfolios, and JCGS membership.
  • Support marketing and communications for planned giving, including newsletters, mailings, and website updates.
  • Manage Planned Giving inquiries and route to appropriate staff; help track donor pipeline and prospect activity.
  • Assist with stewardship of JCGS members, including events and recognition efforts. Manage inventory of JCGS stewardship items.
  • As requested by the Director, enter contact reports, actions, correspondence, and ask amounts into the database in a timely fashion; Maintain accurate donor and prospect records in the database, ensuring timely follow-up and reporting.
  • Administrative Support for Both Directors / Teams

  • Assists with travel planning and related visit prep for the PG Director
  • Supports scheduling and preparation / materials for team meetings, campus leadership meetings, and other meetings as requested for Director of Advancement Communications and Donor Relations, and the Director of Planned Giving
  • Provides budget and expense processing support for both areas / Directors
  • Prepare and edit correspondence, presentations, and briefing materials as requested.
  • Professional Development and School / Dept Activities :

  • Build knowledge and skills by engaging with peer networks (ESA and others) and attending conferences, webinars, and vendor sessions.
  • Actively participate in School meetings, trainings, and Advancement & Development team initiatives.
  • Support work across the department by participating in "all hands on deck" events and projects including Alumni Weekend

  • Requirements

  • Bachelor's degree (B.A.) or equivalent from a four-year college or university, or an equivalent combination of education and experience. Three to five years of office experience.
  • Ability to work earnestly, respectfully, and cooperatively in a team environment with coworkers and volunteers from diverse backgrounds, and to give and receive feedback on common projects and tasks.
  • Must have a thorough understanding and appreciation for the goals and mission of Lawrenceville and the interests of independent secondary education and liberal arts education.
  • Must have clear, concise, and effective oral and written communications skills.
  • Have a proficient working knowledge of Google Sheets / Google Docs and Microsoft Office Suite, especially Excel and Word, and the ability to quickly learn other software programs and database applications.
  • Exceptional ability to think strategically and analytically. Maintain confidentiality.

  • Physical demands are in excess of those for sedentary work. Must be able to remain on their feet for extended periods of time, go up and down flights of steps, as well as stoop, kneel, crouch, and lift.
  • Routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, fax machines, etc.
  • Must be capable of using a visual display terminal with continuous wrist movement on a keyboard.
  • Required to stand for long periods of time.
  • Required to, talk, hear, walk, use hands to finger, handle or feel and reach with hands and arms.
  • Required to work evenings, weekends and holidays in conjunction with School calendar and events.
  • Must be able to lift up to 25lbs. without assistance.
  • Ability to see with normal parameters.
