We are seeking a reliable and experienced Supervisor to oversee daily operations and support services including day porters, night cleaning crews, mailroom support, and reception / concierge staff. This role is essential to maintaining a high standard of service and ensuring smooth day-to-day functioning of the facility.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Provide administrative support to the Facilities Manager which includes : scheduling meetings, taking meeting notes, reviewing facilities related reports and preparing correspondence required for the management of the facility.
- Assist in scheduling and coordinating all service calls as calls are received
- Create work orders in Computerized Maintenance Management system (CMMS) for all service calls
- Dispatch ABM facilities staff for emergencies, follow-up on non-emergent work orders with no progress or status update when they are flagged- reroute staffing as needed
- Provides end-user support by responding to questions related to CMMS
- Capable of identifying repeat requests and perform root cause analysis then recommend solutions to reduce repetitive requests by working with Facility Manager and all soft services staff as well as soft services vendors.
- Assist in new systems implementation and rollout for CMMS.
- Setting up new user accounts, modifying access, resetting passwords for CMMS.
- Respond to all messages left overnight related to non-emergent issues
- Work with Facility Manager and ABM billable staff to maintain the facilities schedule every week
- Assist in ordering parts with Facilities Manager and Shipping / Receiving Coordinator for special orders
- Provides reports on open and closed orders and checks status with all necessary parties.
- Maintains files on orders, proposals and all other necessary correspondence
- Assist in setting up new vendors in ABM systems as required
- Issue blanket and one-time purchase orders to vendors performing facilities services
- Track issued purchase orders to ensure vendor invoices are received
- Reviews vendor invoices and checks accuracy on completed paperwork submitted.
- Prepare documentation to support system administrative functions, procedures and processes
- Act as a back-up to the Facilities Manager providing on-call 24 / 7 support remotely when not on-site
- Provide assistance to procure and schedule resources for client events outside of routine day-to-day operations
- Monitor all soft services vendor contracts by reviewing scope of work for alignment with duties performed, all related costs associated with work performed and obtain invoices for approval and submission to ABM systems.
- Perform other related duties and responsibilities as required
REQUIRED EXPERIENCE / QUALIFICATIONS
