About the Position : Description

Description

The City of Roanoke is seeking a Client Services Specialist to perform research and screens applicant activity in various computer systems including expedited SNAP services and customers needing emergency services.

  • Additional job responsibilities include assigning applications using electronic assignment system; performing file clearance, case association, and pending applicants in state systems;
  • performing indexing procedures to associate with client case ID in state systems; and preparing, scanning and quality checking documents / images being converted to electronic / digital format;
  • converting paper applications to electronic format using rapid data entry system. The successful applicant will also issue EBT cards and log data in state systems;
  • maintain EBT card inventory control record; perform support duties including preparing Internal Action form to initiate EBT card;
  • check forms, records and reports for accuracy; create appointment letters; compose and type correspondence, memos, and forms;
  • maintain stockroom inventory and order supplies; and process transfer cases. Proficiency in computer skills such as keyboarding and programs including Microsoft Office Suite;
  • ability to work in various state computer systems; High School diploma or general education degree (GED); one to three months related experience and / or training in a clerical environment or equivalent combination of education and experience;

Examples of Duties

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Performs research and screens applicant activity in various computer systems

Checks forms, records, reports, applications and other material for accuracy completeness and conformity

Converts paper applications to electronic format using rapid data entry system

Assigns applications to appropriate staff using electronic assignment system

Performs file clearance, case association and pends applicants for public assistance programs in VaCMS system

Screens applications for expedited SNAP services

Sets appointments using VaCMS scheduler system; creates appointment letters

Screens and assigns transfer-in cases from other localities; transfers ongoing cases to other localities

Scans documents using document imaging system and performs quality assurance on each image to ensure completeness and readability

Performs indexing procedures on scanned documents to associate with correct client / case ID in VaCMS system

Screens customers for emergency services

Posts a variety of routine information and data to maintain agency records

Logs statistical or fiscal data in a variant of formats and generates reports

Composes and / or types correspondence, memos reports and / or forms

Contacts customers and / or vendors to obtain or verify information

Prepares Internal Action forms to initiate EBT card

Issues EBT cards and log appropriate data in the EPPIC system; maintains EBT card inventory control record

Instruct customers on the use of EBT card

Processes locality transfer cases and internal case worker transfer

Receives complaints and resolves them within the framework of established policies and procedures

Send request for school records, medical records, Social Security numbers, Birth Certificates, etc.

Alert school systems regarding child or children placement in foster care.

Completes request for birth certificates.

Types and sends letters to parents, relatives, attorneys etc. on children in care.

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.

EDUCATION and / or EXPERIENCE

High school diploma or general education degree (GED); or one to three months related experience and / or training; or equivalent combination of education and experience

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations
