Job Description

As a Mail Services Specialist I youll play a vital role in ensuring smooth mail and shipping operations that support WGUs departments and services. Your attention to detail and commitment to accuracy will help us deliver timely reliable solutions that keep our university running efficiently.

What Youll Do :

Receive sort and process incoming and outgoing mail and packages ensuring accuracy and timely delivery

Log and scan incoming mail process checks and manage disposition according to documented procedures

Pick pack and ship outgoing packages using shipment processing software including preparing commercial invoices when needed

Maintain shipping supply inventories and ensure locker systems are organized and functional

Respond to phone calls and emails promptly providing excellent customer service to internal stakeholders

Update systems such as ServiceNow with accurate shipping and tracking information

Collaborate with department heads to meet specific mailing requirements and assist with billing or invoice resolution

What Youll Bring (Minimum Requirements) :

High school diploma or equivalent

02 years of related experience in mailroom or shipping / receiving roles

General office experience

Knowledge of standard carrier shipping requirements and processes (UPS USPS and FedEx).

Basic Microsoft Word and Excel skills including .csv file knowledge

Strong organizational skills and ability to manage multiple tasks with minimal supervision

Excellent interpersonal and customer service skills

Physical Requirements :

Prolonged periods sitting at a desk and working on a computer.

Must be able to perform repetitive physical motions. Including reaching above the head extending arms bending and lifting.

Must be able to lift up to 35 pounds at times.

Must be able to stand for extended times.

Bonus Points if You Have (Preferred Qualifications) :

2 years of mailroom or shipping / receiving experience

Experience with commercial invoices and customs requirements

Familiarity with Quadient S.M.A.R.T. shipping systems Smart Parcel Locker systems Workday Purchase Orders and ServiceNow
