Administrative Assistant
Evergreen Family Medicine is committed to providing excellent care for your family with clinics in Sutherlin, Roseburg and Myrtle Creek Oregon. Evergreen Family Medicine serves outpatient needs, including Urgent Care, Family Practice, Womens Health, Occupational Health, and school-based telehealth.

Responsibilities and Duties :
- Maintains confidentiality according to HIPPA regulations and EFM Policies
- Adheres strictly to EFM departmental standards and policies, including state and federal regulations
- Communicates effectively and professionally with coworkers, managers and patients via phone, email or in person
- Process and distribute incoming mail including confidential communications
- File invoices, receipts, and other documents for administrative staff
- Make copies for HR, Finance, and other administrative staff
- Assist in coordinating lunch meetings including ordering food, setup, takedown and booking conference rooms
- Ensure that all departments / breakrooms / conference rooms at Edenbower and Harvard are stocked.
- Collect, process, and reconcile daily money and communicate daily with finance and management any discrepancies.
- Reconcile monthly credit card statements.
- Conduct and assist with new employee orientation,
- Run errands, and schedule meetings as needed.
- All other tasks as assigned by Finance, HR and other administrative staff
- Assists the Executive Assistant, CCO and CEO as needed
- Track non-employee incidents, send reports to human resource manager.
- Assist with creating forms, meeting minutes, creating binders, other administrative duties as needed
- Assists IT Content Management Specialist in taking photos (birthday etc.)
- Purchasing and Delivery of office supplies for all departments.
- Ensures on a daily basis to promote an environment filled with teamwork, a positive outlook and constant professionalism.
Qualifications and Skills :
High School Diploma or equivalent3 years office experienceCommunication, interpersonal, clerical, and organizational skills necessary to complete job duties.Ability to handle the confidential aspects of the work.The ability to type at least 40wpm and activate and operate computers and office equipment.Physical requirements :
Prolonged periods sitting at a desk and working on a computer.
The employee is frequently required to walk; use hands and fingers, handle, or feel; and reach forward with hands and arms.
The employee is occasionally required to sit and stoop, kneel, or crouch.
