Coordinator, Client Service
The Client Service Coordinator supports the Investor Relations Team for Carlyle's funds, ensuring exceptional service delivery to investors. This role requires strong prioritization skills, meticulous attention to detail, and the ability to manage competing priorities in a deadline-driven environment. The Coordinator serves as the key liaison for gathering information from internal teamsincluding Legal, Tax, Compliance, Fund Management, and Accountingto enhance the client experience.
Responsibilities
Investor Onboarding and Communications
- Work proactively with Investor Relations and Fund Management teams to understand new fund structures and fundraising timelines
- Support all aspects of the fund close process, including investor onboarding, compliance and tax clearance and posting documents to the investor portal
- Throughout the life of the fund, serve as the main point of contact for investors requesting transfers and name changes and coordinate with necessary stakeholders to complete these requests timely
- Respond to investor requests and prepare, proofread, and send legal, tax and financial reporting documentation to investors
- Provide oversight for team that posts investor reporting to Carlyle's investor portal, review and approve higher risk documents before they are available to investors, and handle any posting needs outside of business hours
- Communicate effectively with global stakeholders, both internal and external.
Systems and Data
Coordinate efforts with teams across the organization to ensure efficiency and consistency of investor-related processes, systems and applications.Ensure integrity of investor and fund data in key systems :Create new fund records and update throughout the lifecycle of the fundOversee onboarding of new investorsApprove key investor data elements including demographics and wire instructionsSupport data reporting needs from broader Investor Relations teamCollaborate with Fund Management team to maintain and report on day-to-day fund financialsQualifications
Education & Certificates
Bachelor's degree, requiredConcentration in Finance, Economics, Business Administration, or a related field, preferredProfessional Experience
1+ years of overall relevant work experience, requiredExperience in financial services, private equity, investment banking, asset management or law, preferredCompetencies & Attributes
Strong communication and interpersonal skills, with the ability to effectively liaise with, manage expectations of, and develop relationships with internal stakeholders and investorsExcellent time management, attention to detail, and strong organizational skills to manage multiple tasks simultaneouslyAbility to work effectively as part of a team and at a high energy levelExcellent Microsoft Office skills, especially Word and ExcelAbility to synthesize large data sets into comprehensible formats and summarize findingsPrior experience with Customer Relationship Management systems such as Salesforce is desirable but not requiredProactively approach tasks with a "big picture" mindset, considering long-term goals and implications while taking initiative to drive resultsDemonstrated ability to maintain confidentiality and handle sensitive information with discretionWillingness to work flexible hours and monitor emails outside of normal work hoursThe compensation range for this role is specific to Washington, DC, and takes into account a wide range of factors including but not limited to the skill sets required / preferred; prior experience and training; licenses and / or certifications. The anticipated base salary range for this role is $80,000 to $90,000. In addition to the base salary, the hired professional will enjoy a comprehensive benefits package spanning retirement benefits, health insurance, life insurance and disability, paid time off, paid holidays, family planning benefits and various wellness programs. Additionally, the hired professional may also be eligible to participate in an annual discretionary incentive program, the award of which will be dependent on various factors, including, without limitation, individual and organizational performance.
