Inventory Record Control Supervisor

The Illinois Fire Service Institute (IFSI) is seeking a dedicated and detail-oriented Inventory Record Control Supervisor to join our team. As the statutory fire academy for the State of Illinois, IFSI trains thousands of firefighters across the state and beyonddelivering hands-on education through a unique blend of campus, online, and regional training programs. Primary Position Function / Summary

The Inventory Record Control Supervisor is responsible for developing, coordinating, and maintaining a comprehensive inventory record control system for all equipment and assets at IFSI. This includes capital equipment, consumables, and other resources necessary to support IFSI's statewide mission. The role ensures compliance with the State Property Control Act and University of Illinois policies while overseeing the tagging, tracking, reporting, reconciliation, and disposition of equipment and assets.

Duties and Responsibilities

  • Develop, coordinate, and maintain a university / campus-wide inventory record control system for movable equipment utilizing the University's Fabweb and Fabweb+ systems.
  • Classify equipment in conformance with the State Property Control Act and University of Illinois policies.
  • Manage the tagging and reporting process for all equipment per university policy through the Fabweb system and ensure accurate tracking in Banner.
  • Report and maintain database of low-value equipment through the FabPlus system for proper tracking and record keeping.
  • Assign and affix property tags to equipment and maintain databases and needed for all processed items.
  • Coordinate biennial inventory activities, including preparation, validation, reconciliation, and reporting to university administration and the State of Illinois.
  • Design, modify, and maintain forms, filing systems, and procedural guides to ensure consistency in departmental reporting and inventory processes.
  • Prepare required reports and correspondence for the University and the State of Illinois regarding inventory changes and compliance.
  • Oversee the disposition of surplus equipment in compliance with University and State regulations.
  • Provide training and guidance to personnel on inventory procedures and systems to ensure standardization and accuracy.
  • Identify and recommend improvements to inventory management processes, policies, and record control systems.
  • Work with all IFSI staff and leadership to facilitate our adherence to all relevant University policies related to this work.
  • Facilitate vehicle title transfers between IFSI and University Carpool.

Qualifications

Required :

  • High school diploma or equivalent.
  • Three (3) years (36 months) of work experience in records management involving inventory control.
  • Preferred :

  • Five (5) years of reliable work history showing increasing responsibilities and duties.
  • Fundamental knowledge of University systems and policies, such as Fabweb.
  • Two years' experience in the development, coordination, and maintenance of an inventory record control system.
  • Experience in coding, filing, and record keeping.
  • Knowledge, Skills, and Abilities

  • Knowledge of modern records generation, inventory management, and asset disposition practices.
  • Knowledge of inventory procedures, coding, filing, and record keeping.
  • Knowledge of basic arithmetic and the ability to interpret and solve problems of a mathematical nature.
  • Ability to conceptualize, define, and implement improvements to record control systems.
  • Skill in verbal and written communication.
  • Skill in inductive and deductive reasoning.
  • Ability to train and guide others in inventory record control practices.
  • Ability to prioritize multiple projects and meet competing deadlines.
  • Attention to detail and ability to maintain accurate documentation.
  • Ability to work with confidential information with discretion.
  • Strong organizational and communication skills.
  • Willingness and ability to work with electronic data processing hardware and software.
  • Physical Demands / Working Conditions

    The position requires the ability to lift up to 50 pounds and may involve occasional exposure to noise, dust, fumes, allergens, temperature changes, inclement weather, and the use of personal protective equipment.

    Appointment Information

    This is a 100% full-time Civil Service Inventory Record Control Supervisor position, appointed on a 12-month basis. The expected start date is as soon as possible after November 16, 2025. The salary range for this position is $55,000-70,000.
