Provide administrative support for the Executive Director of Community Affairs
Manage recoupment processing between the Bureau of Maintenance, Inspections and Operations and the DOT Finance team
Prepare trip packages and travel coordination assist with the preparation of travel package by ensuring required documents are submitted; settle reimbursement package upon return; provide / complete Fiscal Certification Form, DOT FMS Imprest Fund Voucher, Personal Travel Expense Report; submit post conference report
Manage Outlook calendars and schedule meetings utilizing Outlook 311 Taskforce Manager : reviews 311 complaints in the system. Ensure complaints are responded to in a timely manner by Siebel users and follow up where necessary
Review ARTs cases including updating working notes, closing cases and redirecting cases
Handle litigation requests / inquiries for the division
Manage the unit's absence control calendars
Draft memos and correspondences
Conduct administrative tasks including scheduling, scanning, distributing documents, and maintaining all files
Track Community Construction Liaison weeklies
Interact with the public on phone calls and inquiries
Assist with special projects as needed
Preferred Skills
Strong written and verbal communication skills
Knowledge of ARTs and Siebel
Knowledge of MS Word, Outlook, Excel
