Assistant Project Manager
We are seeking an Assistant Project Manager to join our Los Angeles team. This role provides critical support to Project Managers and Project Executives throughout the full project lifecycle, ensuring the seamless flow of administrative, financial, and construction documentation.
The Assistant Project Manager serves as a central point of coordination for subcontractors, consultants, and internal teams. This position plays a key role in document management, budget tracking, procurement, reporting, and punch list preparation, helping to maintain accuracy, consistency, and timely communication across all project phases.
The ideal candidate is detail oriented, proactive, and highly organized, with the ability to manage multiple tasks while supporting the delivery of high-end residential projects that embody I-Grace's uncompromising standards of quality and service.
Key Responsibilities
Support Project Managers and Project Executives on daily administrative, financial, and documentation related tasks
Maintain and update project budgets, buyout worksheets, and financial tracking documents
Process trade awards, change orders, subcontractor invoices, waivers of lien, and commitment documents
Assist with procurement for assigned scopes and coordinate incidental material and tool orders for the field
Manage the flow and organization of architectural, engineering, and consultant drawings, specifications, RFIs, submittals, samples, and related logs
Ensure all project files are accurate, consistent, and compliant with internal standards
Assist in preparing meeting minutes, field reports, tracking logs, and change order logs
Coordinate with the Superintendent and Project Manager to develop and maintain punch lists
Support project closeout by organizing Owner's Service and Maintenance Manuals and ensuring complete final documentation delivery
Qualifications
Minimum 2 years of experience in high-end residential construction or facilities management
Bachelor's Degree in Construction Management, Architecture, Engineering, or related field preferred
Proficiency in Sage 300 or Timberline, Microsoft Project, and Microsoft Office Suite
Exceptional organizational, communication, and multitasking abilities
Strong attention to detail and ability to manage multiple deadlines
A proactive and resourceful work style with the ability to take initiative and follow through
Ability to thrive in a collaborative, fast paced environment supporting field and office operations
Compensation & Benefits
Salary : $80,000 to $100,000 annually, based on experience
