Accounts Receivable Administrative Assistant Reports to the Controller and supports the Sales Director and 8 salespeople Summary This position will assist with preparing reports, maintain filing systems, day-to-day office tasks and ensuring policy and procedures are followed by employees and customers alike. Automotive industry / dealer parts experience a plus. Hours are M-F, 6 : 30am-3 : 30pm or 7am-4pm. 100% onsite in Clackamas. Compensation : $25-30 / Hr DOE Must Haves : Self-Starter Excellent written and verbal communication skills and not to be afraid to ask questions or make suggestions Proficiency with Microsoft Office Suite with heavy Excel knowledge (vlookups, formatting / formulas, heavy utilization from templates) Accuracy & very detail oriented for sales, invoicing & corresponding commission High attention to detail matching account numbers to correct amounts and buyers Works within and follows processes and procedures without deviation Ability to take direction & learn Ask questions when needed Able to write SOPs / “Playbooks” Duties Process complex invoices in Excel Cross-reference invoices and BOMs for discrepancies Work with Shippers and Buyers where invoices were not yet generated Manage the A / R and communicate with customers regarding past due invoices Accurately maintain sales reporting Reference cost accounts Schedule appointments and maintain calendars (e.g. calendar reminders for tasks) This is a learning and growing role Qualifications Bachelor’s degree or equivalent work experience Minimum 2 years of proven experience or equivalent education in office processes & procedures Advanced experience in Excel Experience with QuickBooks (Desktop) Ability to multitask and remain organized in a fast-paced environment Commitment to consistently providing high level customer service to both internal and external customers Team-oriented work ethic and willingness to help others Ad-hoc duties as required
