We are looking for a skilled Payroll Administrator to oversee and execute payroll operations for a diverse workforce across multiple locations. This role requires exceptional attention to detail, compliance expertise, and the ability to streamline processes for maximum efficiency. Responsibilities include administering weekly payroll processing for union and non-union employees across multiple sites, ensuring accuracy and timeliness. Prepare certified payrolls and manage compliance with Davis Bacon wage orders and prevailing wage laws. Maintain and update payroll systems, including new entries, employee status changes, tax adjustments, and deductions. Generate quarterly, year-end, and other required payroll reports, ensuring data accuracy. Identify opportunities to optimize processes by reducing manual tasks and improving system integrations. Process union-related paperwork and ensure compliance with all applicable federal, state, and local regulations. Conduct audits of payroll records to ensure adherence to legal and organizational standards. Address employee inquiries regarding pay and handle third-party employment and payroll verifications. Safeguard payroll records by maintaining confidentiality and secure storage practices. Collaborate on short-term projects and fulfill additional duties as assigned. Requirements include proven experience managing full-cycle payroll processes for diverse employee groups. Familiarity with multi-state payroll and union payroll requirements is necessary. Proficiency in payroll systems, with experience using Viewpoint Vista preferred. Strong knowledge of federal, state, and local payroll regulations is required. Ability to handle payroll for organizations with 101 to 500 employees is essential. Excellent organizational and time-management skills to meet strict deadlines are required. High degree of confidentiality and adherence to ethical standards are necessary. Strong analytical skills for auditing and resolving discrepancies are required.
