Job Description : Position Summary :
The Administrative Coordinator provides comprehensive administrative and operational support to academic and departmental leadership. This role is responsible for coordinating events, supporting students and faculty onboarding, maintaining schedules and records, and ensuring compliance with accreditation and institutional requirements. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced academic environment.
Responsibilities :
Event & Program Coordination
- Coordinate and support departmental events including Graduation Dinners, Research Day, Lunch & Learns, Guest Dinners, and Class Photo logistics.
- Facilitate resident applicant interview processes, including scheduling and coordination.
- Coordinate resident and faculty travel arrangements, including hotel accommodations and logistics.
Student & Faculty Administration
Manage student onboarding processes, including kit distribution and CAGS Orientation / Research Orientation.Coordinate faculty onboarding, including preparation of faculty packets and support for faculty review processes.Oversee student administrative functions such as SSN documentation handling and VA scholarship coordination.Assist faculty with drafting and processing Letters of Recommendation (LORs).Academic & Scheduling Support
Support academic functions such as Mock Boards, course scheduling, Registrar-related tasks, and SLC scheduling.Maintain departmental calendars, room requests, and meeting schedules for Faculty, Academic Affairs, and ISSO.Track and approve faculty time-off requests in accordance with departmental policies.Compliance, Reporting & Accreditation
Support accreditation and compliance initiatives, including CODA preparation and documentation.Prepare and distribute departmental dashboards and reports to leadership and stakeholders.Procurement & Inventory Management
Manage procurement and inventory functions including ordering office supplies, research supplies, scrubs, and name plates through university procurement systems.General Administrative Support
Provide general administrative and operational support, including communication coordination and attending meetings as required.Perform additional duties and special projects as assigned.Required Qualifications :
Strong organizational and multitasking abilitiesExcellent written and verbal communication skillsExperience supporting academic, healthcare, or institutional environments preferredProficiency with scheduling tools, reporting, and administrative systemsAbility to work independently in a 100% on-site setting
