RESPONSIBILITIES
o Prioritize invoices based on business needs and historical data.
o Assist the supervisor in prioritizing and distributing workload to the AP unit staff assigned to processing invoices.
o Review and process payments for direct invoices, purchase orders, travel expense claims, and vendor ACH Debit transactions.
o Review and process jury files for upload into the payment system.
o Review and process trial court petty cash and revolving fund replenishment requests.
o Process AP correction entries when necessary.
o Respond to requests for assistance and / or questions from external and internal stakeholders.
o Provide AP module training to the trial courts.
o Train new staff on invoice processing procedures.
o Document invoice business processes, create or update invoice procedures and forms, and review and update invoice training materials.
o Assist the supervisor with developing unit-training plans and team-building activities.
o Communicate with courts regularly to ensure the collection of Taxpayer Identification Numbers (TINs) from jurors who meet the payment threshold for issuance of Form 1099-MISC.
o Collect and compile juror TINs, coordinate with Vendor Maintenance staff to verify the validity, and submit requests to Finance System Support staff to enter TINs to generate Form 1099-MISC for jurors.
o Reconcile reportable vendor payments, including verification of vendor payment category set up, and process adjusting entries.
o Print and prepare Forms 1099-MISC and 1099-NEC for mailing and distribution to vendors.
o Submit electronic reporting data by the established tax authority deadline.
o Respond to court staff and vendor 1099 inquiries, research discrepancies, and initiate corrections as required.

OVERVIEW
The Judicial Council of California is accepting applications for the position of a Fiscal Services Coordinator in the Trial Courts Administrative Services Accounts Payable unit for the Branch Accounting and Procurement office.
Under the supervision of the Fiscal Services Support Supervisor of the Trial Court Administrative Services Accounts Payable unit; this lead position is one of two positions within the unit that will assist the supervisor in prioritizing and distributing workload. The work is divided into two main processes : invoice processing and payment processing. This position is the primary resource for invoice processing and is responsible for completing monthly and quarterly federal and state back-up withholding deposits and reports, reconciling and distributing Internal Revenue Service Forms, and collaborating with the unit's payment Fiscal Services Coordinator to complete fiscal and calendar year-end activities. The position also performs system validation and testing, including Disaster Recovery drills and annual Support Pack updates. In addition, this position processes vendor invoices, trial court travel claims, jury payment files, vendor garnishments, and Automated Clearing House (ACH) transactions.

MINIMUM QUALIFICATIONS
EDUCATION AND EXPERIENCE
Three (3) years of accounting experience, including some experience in area of assignment (such as
procurement, accounting operations, bookkeeping duties for accounts payable, and general ledger).
OR
Associate's degree, preferably in accounting or business-related field, and one (1) year of accounting
experience, including some experience in area of assignment (such as procurement, accounting
operations, bookkeeping duties for accounts payable, and general ledger). Additional directly related
experience and / or education may be substituted on a year-for-year basis.
OR
One year as a Fiscal Services Specialist with the Judicial Council of California or one year of
experience performing the duties of a class comparable in the level of responsibility to that of a
Fiscal Services Specialist in a California superior court or California state-level government entity.

$5,933 - $8,305 per month
Please note due to statewide fiscal conditions, the posted salary range is subject to a temporary 3% reduction. In exchange for this reduction, judicial branch employees accrue an additional 5 hours of paid personal leave per month through June 30, 2027.
