Our Mission
As a faith-based organization, QueensCare provides, directly and in collaboration with others, accessible quality healthcare for low-income individuals and families residing in Los Angeles County.
QueensCare is a 501 (c)(3) nonprofit organization originally founded by the Franciscan Sisters of Sacred Heart, whose mission of compassion and accessible healthcare continues today. QueensCare provides screening, treatment, education, and preventive and direct care to Los Angeles area residents in need. Beyond that, we also give charitable grants to other non-profits making a difference in the City of Angels and fund scholarships for those entering medical fields with an interest in working in underserved communities.
About the role
The Administrative Assistant II provides high-level administrative and operational support to senior leadership across assigned departments. This position assists in coordinating schedules, meetings, communications, and departmental processes to ensure the efficient functioning of the department. The Administrative Assistant II exercises sound judgment, maintains confidentiality, and demonstrates excellent organizational, communication, and problem-solving skills. The role requires flexibility to manage shifting priorities, competing deadlines, and frequent interruptions, while maintaining a high level of professionalism and service.
ESSENTIAL JOB RESPONSIBILITIES
General Administrative Support :
- Prepare, edit, and distribute correspondence, reports, presentations, and other materials.
- Manage calendars, schedule appointments, and coordinate logistics for meetings and events.
- Attend meetings, record minutes, and ensure timely follow-up on assigned tasks.
- Take, screen, and direct phone calls appropriately; respond to routine inquiries.
- Coordinate travel arrangements and process expense reimbursements.
- Maintain accurate records, databases, and filing systems (electronic and physical).
- Track departmental supplies, process orders, and reconcile purchasing card statements.
- Provide backup coverage for reception or other administrative areas as needed.
- Assist in coordinating staff appreciation or organizational events when requested.
Department Support :
Provide cross-departmental administrative support for Human Resources, Communications, Information Systems, Facilities, Quality, and Risk Management.Coordinate department meetings, prepare agendas, compile materials, and record minutes.Track department projects, action items, and deadlines to ensure timely completion.Support HR with scheduling interviews, onboarding activities, and maintaining confidential employee records.Assist IS with user access forms, IT equipment tracking, and coordination of vendor service requests.Support Facilities in managing work orders, maintenance logs, and vendor correspondence.Assist Quality and Risk teams with data entry, policy document versioning, and audit preparation.Compile and organize reports or summaries for internal committees and compliance reviews.Facilitate communication and information flow between administrative departments.Support preparation of documentation for inspections, safety audits, and internal reviews.Assist with tracking and updating departmental policies and procedures in collaboration with senior leadership.Policies and Performance :

EDUCATION :
High School Diploma or equivalent required; Bachelor's Degree preferred.
EXPERIENCE :
Minimum of 5 years of administrative experience supporting senior leadership or department management, preferably in a healthcare or nonprofit setting.
KNOWLEDGE :
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), Teams, Zoom, and financial tracking systems.Strong organizational and time management abilities; capable of managing multiple priorities.Excellent written and verbal communication skills.Understanding of financial documentation, expense processing, and budgeting cycles.Attention to detail, sound judgment, and discretion with confidential financial information.Adaptability to dynamic organizational priorities.SKILLS :
